Using the Nintex Process Manager mobile app

The Processes screen is the initial screen that opens after you log in or restart the app without signing out. The screen is divided into recently viewed processes and a list of processes and process groups in the All processes section. The app will show you published processes and process groups that you have permissions to see.

From here you can open one of the three most recent processes you viewed by tapping it, or browse through the process groups to a process you want to view. Tap the search icon at the top right of the screen to search for processes.

From the Processes screen, swipe vertically to browse the list and tap to open a process or process group.

When you open a process you'll see its title, map, and activities.

  • Tap on the map to open it. Tapping the expand icon to the right of the map, expands the map. Drag the screen to navigate the map and tap an activity to open it and see its tasks. Tapping the button shows the full map.
  • Tapping an activity card on the map opens just that activity, showing the tasks and notes associated with it.
  • Tapping an activity beneath the map expands it so you can see the tasks and notes for that activity. You can have multiple activities expanded at a time.
  • Pull down to refresh the processes screen. This will update processes on the screen when logged in to the app (authenticated). If you opened a minimode link (anonymous) pulling down will not update the existing processes.

When do processes sync?

The following table describes the conditions under which the app syncs content with the Nintex Process Manager server.

Sync condition Description
First login On first install and launch of the app, the app will sync with the server and collect all existing processes.
Automatic sync

This is also known as periodic sync.

  • The sync happens every hour after the last sync.
  • The sync happens whether the app is in the foreground or background.
Pull-to-refresh A pull-to-refresh interaction (pull down from the top of the app) is available on the Processes screen to initiate a sync.

What happens when the app syncs?

The following will happen when the app syncs, whether automatic or initiated by you:

  • The app syncs with your Promapp tenant and all updates regarding new processes added, modified, or deleted, occurs.
  • The app will sync any attachments you have previously downloaded, if they have changed.
  • Both authenticated and anonymous processes (minimode links) will be synced.
  • Minimode links in your recents list will be synced.
  • For minimode links, if any of your recent minimode processes need authentication and your token for that Promapp tenant/minimode URL has expired, the sync will skip that process.
  • If you happen to be looking at a process with attachments when a sync is happening in the background, it's possible that one of the attachments could have been removed by the promaster/process author. An error message appears if you try to open an attachment URL that has been deleted on the server after sync.
  • Any deleted process will remain in your recents until you attempt to open it, at which point we will let you know the process doesn’t exist anymore.
  • The sync works on both Wi-Fi and mobile data (together or separately).

Sync center

Find the sync center in the main menu under Sync. The sync center tells you the status of the currently running sync (no matter how the sync was started, for example, automatic or pull to refresh).

  • If no current sync is taking place, the app will show the Sync status state.
    This will show the last successful sync timestamp.
    • You have the option to manually sync data by tapping Sync now. When you tap Sync now, the app starts a data sync and shows you the progress screen where you can stop the sync. When you tap Try again the app attempts to sync data again and shows you the progress screen where you can stop the sync. .
  • If there’s an error, the app will show the Sync failed state and show you an error. You can retry by tapping Try again.
  • If there’s no connectivity on the device, the app will show the Offline state.
    If you try sync while the device has no internet connection, the app shows the You are offline state with option to retry by tapping Try again.
  • If the sync is in progress, the app will show the Sync in progress state.
    The Sync in progress state has an option to stop the sync, when tapped, a Stop this sync confirmation dialog is shown with following options:
    • Tap Cancel to close the dialog and resume the sync.
    • Tap Stop sync to stop the sync and close the dialog, returning you to the sync status screen.

Search for processes or process groups

Tapping the magnifying glass icon at the top of the processes screen opens the Search all processes screen.

  1. Enter a search term to show matching results.
  2. Tap a process group or process you want to open.

The search function searches process titles and process content for the term you enter, including activities, tasks, notes, attachment names etc. Tap Cancel next to the search box to cancel the search and return to the processes screen.

Opening attachments

When viewing a process, tapping an activity expands it to see the tasks, and the notes/attachments associated with the tasks.

  1. Tap on the attachment, to start downloading it. A spinner displays next to the attachment to indicate it is being downloaded. Once downloaded a green tick icon displays.
  2. To open the attachment, tap on the attachment again. This attachment is now available offline, and will update whenever the app syncs.

  No icon. The attachment is not downloaded. Tap the attachment to download it now (if online) or queue it for later (if offline).

The attachment is queued for immediate download, as you’re online. If you’re downloading many attachments, a few downloads at a time and show the stop icon, and the rest will have this spinner icon, which means waiting to download as soon as the app can.

There was an error downloading the attachment, for example, you lost connection while the attachment was downloading.

Process options menu

When you open a process, the process options menu (...) is available in the top right of the screen. This menu shows the last time the process was synced, allows you add feedback, and share the process.

Sharing process links

While viewing a process in the Nintex Process Manager mobile app you might want to share the process with a co-worker, manager, or someone in another department.

  1. Open the process and tap the process option menu (...) at the top right corner.
  2. Tap on the Share process option at the bottom of the menu.
  3. Select one of the apps on your mobile device that you want to use to share the link, for example, Mail, WhatsApp, Messages or Skype.
  4. The link to the process will be sent.

Sharing a process link while logged in (authenticated mode) will share a normal process link The procedure map is a visual representation of a business process that is designed to be easily understood by any user in the business. Automatically generated from the written process procedure document, the procedure map provides a clear, high-level overview of the activities needed to complete a given business process. (i.e. NOT a minimode link). When this link is opened on a mobile device, the link will open the process in the Nintex Process Manager mobile app, if the link is opened on desktop the process opens in your Process Manager web site. If you are not logged in (anonymous mode) and you share a process link, a minimode link A permalink to a Nintex Promapp process or document which allows anonymous users to access processes, documents or process groups. is sent. When this link is opened on a mobile device it will open the process in the Nintex Process Manager mobile app in anonymous mode.

Providing feedback on processes

You can help improve a process by providing feedback on that process.

  1. Open the process and tap the process option menu (...) at the top right corner.
  2. Tap on the Add feedback option on the menu.
  3. Give the process a rating by tapping on a number between 1 (Low) and 5 (High)
  4. In the text field type your feedback on the process and tap Submit. A green bar displays at the bottom of the screen to show the feedback is being submitted. If you are offline the feedback will be pending until you back online when it will be submitted.

User management

If a user is removed from the organization and their authentication token is invalidated on the server, the Nintex Process Manager mobile app will challenge the user to re-authenticate with the app before they can continue to access their content in the app. Processes are cached on the mobile device within the app storage pending re-authentication, however this data is not accessible through the app until the user re-authenticates. Deleting the app would remove the content. Anonymously accessed minimode processes (that don’t require authentication) will still be available in the app until the app is deleted.
