Form submissions

A participant role is required. For more information, see User roles.

The Submitted forms page displays details of forms that you have submitted. The page provides a filter to easily find a required submitted form.

Open the Form submissions page

  1. On the top navigation bar, click My Nintex.
  2. From the left navigation, click Form submissions.
  3. The Forms page opens and displays draft forms and a list of forms that you have submitted.

Search for forms

You can use the filter to filter the forms using a preset or custom date range.

  1. Open My Nintex and on the left navigation, click Form submissions.
  2. Search forms:

    • By Date:

      1. Open the Date drop-down at the top left of the page.

      2. If you want to filter using a preset value, click the Preset tab and select the option you want. All forms submitted within the selected date range is displayed in the Submitted forms list.

        Note: 
        • Preset filters can be used for most commonly used filters. A preset filter doesn’t have a specific date range but for a specific number of days. For example, filter to show the forms submitted in the past 30 days.

      3. If you to view forms submitted during a custom date range, click the Custom tab and select the from and to date. All forms submitted within the selected date range is displayed in the Submitted forms list.

    • By form name:

      1. In the Search form name field, type a form name.

View the activity feed for a form

The activity feed for a form is displayed when you click on a form.

  1. Open My Nintex and on the left navigation, click Form submissions.
  2. Click a submitted form from the list. The activity feed is displayed.

The following details are displayed:

  • Form details: This section displays the status of the form, the name of the user that submitted the form, and a link to view/hide the form.

  • Any Active tasks associated to the workflow.

  • Task history: A timeline of the task history is displayed in this section. This enables you to see who has provided responses ahead of you or who has to respond after you.

    Note: The task history is available depending on the settings selected for View all task outcome summary card in My Nintex settings.

Copy form data

You can use the Copy form data feature to easily copy visible (not hidden by rules) form field values from a submitted form to a new form. This is useful when you want to speed up filling a form by copying data from an older form submission. After a copy is made, you can make changes to the data before submitting the form. The original form is not changed. After submission, a new entry is displayed in Form submissions and a new instance is started.

Note: 
  • If any files are attached to the original form, they will not be copied to the new form. Required files must be uploaded before the new submission.

  • The new instance is not linked to the original instance.

  1. Open My Nintex and on the left navigation, click Form submissions.
  2. Click a submitted form from the list. The activity feed is displayed.

  3. Click Copy form data. A new form is displayed with the data from the original form.

    Note: 
    • If any files are attached to the original form, they will not be copied to the new form. Required files must be uploaded before the new submission.

    • This feature copies form data into the latest version of the form design. If there are published changes applied to the original form design, those changes are also applied to the new form. Data that is entered into the original form is copied to the new form if the field containing the data still exists in the new form. If there are differences in form fields between the original and latest form designs, they are ignored.

  4. Edit the form data as required and submit the form.

    After the form is submitted, a new entry is displayed in Form submissions and a new instance is created.

Print submitted forms

If the form is configured to show a print button when the form is submitted, you can print submitted forms via the My Nintex Form submissions page.

  1. Open My Nintex and on the left navigation, click Form submissions.
  2. Click a submitted form from the list to open the activity feed.

  3. Click the Show form link.

  4. At the top of the form, click the Print button.

Resubmit a form

You can resubmit a submitted form. The form is resubmitted with the same data. Only Forms with Completed, Failed, or Terminated status can be resubmitted. If a form has been submitted more than once you can resubmit only the latest submission of the form.

After the form is resubmitted the activity feed shows details of the original submitter as well as the user that resubmitted the form.

  1. Open My Nintex and on the left navigation, click Form submissions.
  2. Click a submitted form from the list. The activity feed is displayed.

  3. Click Show form to open the submitted form.

  4. Click Resubmit form.

    Note: The Resubmit form option is enabled only on the latest submission of a form.

The form is resubmitted with the same data. After it's resubmitted, the activity feed shows details of the original submitter as well as the user that resubmitted the form.

Forms page fields and settings

Field or selection Description
Form Name of the submitted form.
Submitted Date the form is submitted.
Status

The status of the form.

Note: Recently submitted form status may not be displayed immediately and you may have to refresh your browser to display the latest status of forms.

Process completed Date the workflow associated to the form is completed.
Filter drop-down

Filter options to displayed forms submitted during a specific number of days. The following filter categories are included:

  • Preset: Select a preset filter option.
