Submit a form

A participant role is required. For more information, see User roles.

The Forms page shows a list of all forms that are assigned to you and draft forms in separate sections. You can use the Forms page to:

  • View and access the list of forms that are shared or assigned to you.
  • View, edit, or delete draft forms.
  • Favorite forms for quick access.

The following sections are displayed:

  • Draft forms: A list of all the forms you saved. The Draft forms section is available only when you have saved a form. Forms that you have saved, but not yet submitted, are draft forms.

  • Forms: A list of all the forms assigned to you.

Note: 
  • You can save a maximum of 100 draft forms per Start form A form that starts a workflow.. Each time you open a new start form and save it, a new draft form is saved in My Nintex.

  • A draft form expires 30 days after the day it is first saved. Expired draft forms are deleted automatically.

  • Query string parameter functions are not supported for start forms opened from My Nintex. For more information about the query string parameter function, see getQueryStringParameter.

Access the Forms page

  1. On the top navigation bar, click My Nintex.
  2. From the left navigation, click Submit a form.
  3. The Forms page opens and displays a list of forms and draft forms. The form name is displayed according to the title and description provided in the Forms designer > Settings > General settings tab. If no title is provided, the relevant workflow name is displayed. For more information, see Form Forms settings.

Note: 
  • Start event forms should be configured and published with the Nintex Mobile and My Nintex option enabled in order for them to be listed in the My Nintex > Forms page. For more information, see Nintex - Form.

  • The Draft forms section is available only if you have saved a form.

Search for forms

You can use the search bar to search for forms. To search for forms by name, type the full or part of the form name in the Search bar.

Favorite the forms

You can favorite the forms to mark important forms and sort the forms list.

  1. On the top navigation bar, click My Nintex.
  2. On the left navigation, click Submit a form.

    The Forms page is displayed.

  1. Find the form you want to mark as favorite and click . You can favorite a maximum of 50 forms.
  2. After the page is refreshed, all the forms marked as favorite will be sorted and displayed on top of the list and also on the Favorite forms section on the Dashboard page. A maximum of ten are displayed in the Dashboard.

Edit draft forms

You can edit a draft form anytime before submitting it. If you want to submit a draft form, it has to be submitted before the expiry date.

Note: A draft form expires 30 days after the day it is first saved. Expired draft forms are deleted automatically.

  1. On the top navigation bar, click My Nintex.
  2. From the left navigation, click Submit a form.

    The Forms page is displayed.

  3. In the Draft forms section, click the draft form that you want to edit.

    The draft form opens.

  4. Note: The Draft forms section is available only when you have saved a form. Forms that you have saved but not yet submitted are draft forms.

  5. Make the necessary changes, and then click Save or Submit.

Delete draft forms

You can delete a draft form that you don't want to submit.

Caution: Forms are deleted permanently and the action cannot be undone.

  1. On the top navigation bar, click My Nintex.
  2. From the left navigation, click Submit a form.

    The Forms page is displayed.

  3. In the Draft forms section, find the draft form that you want to delete, and then click the Delete icon for the form.

    Note: The Draft forms section is available only when you have saved a form. Forms that you have saved, but not yet submitted, are draft forms.

  4. A message box is displayed to confirm the form deletion.

  5. Click Delete.
