Share a process

You can share processes with people outside your organisation, even if they aren’t Nintex Process Manager users. Minimode links A permalink to a Nintex Promapp process or document which allows anonymous users to access processes, documents or process groups. provide limited access to view and provide feedback on your processes for anyone who has the dedicated URL. You can configure how much access a minimode link allows in the configuration menu.

Minimode links can be embedded into another website using an iFrame. Ensure that the domain on which the iFrame is embedded is using https on port 443.

Caution: Sharing a process via a minimode link enables a person in possession of the link to anonymously access the process and related content, such as files. These links do not expire and can’t be disabled individually from your site without intervention from Nintex Support.

Site administrators or promasters can configure the level of access provided through minimode links or disable the functionality completely. For more information, see Minimode configuration. Nintex Process Manager advises caution when using this functionality and recommends that customers use it at their discretion.

Share a process minimode link

You can share process details via email, minimode A permalink to a Nintex Promapp process or document which allows anonymous users to access processes, documents or process groups. links, or an embeddable link.

  1. Navigate to a process:
  2. Complete one of the following actions:

    • Use the Search box at the top-right of the main navigation bar.
    • On the Home Page:
      • Use the Search box.
      • Click Recently viewed or My favourites.
    • Click Processes > All Processes.
    • Click Processes > Recently viewed.

  1. Click share link on the top-right of the process toolbar and chose an option: 
    • Email Process: In the Email Process dialog box, type the required details in the To and Message fields, and then click Send.
    • Share Process Link: Copy the link displayed in the Share Process Link dialog box and then click Close.
    • Share embeddable process link: This option is only available if you have the Embedded process feature enabled. For more information, see Embed a process.

View processes using minimode links

Minimode links update every time a process is published. That means a link to an unpublished or in progress process will show the current version until the process is published. When sharing a "0.xx" version process, the process version gets updated to 1.1 version, and that same minimode link shows the newer version. Links generated for In Progress processes allow users to switch between the last published version and the current in-progress process.

Minimode links and major (Published) versions

When a minimode link for a published (major version) process is shared, it will always show the most recent published version of the process. When a process is published to a new major version, a new minimode link is generated for the process, but the previously shared minimode link will also now show the most recent major version. If version 1.0 of a process is shared via minimode, and the process is published to version 2.0, the originally shared link will now show version 2.0 of the process.

For example, when the process is in version 1.0 the minimode link shared is: https://us.promapp.com/site/Process/Minimode/Permalink/BTJa0oR0qTii4Bx5yKOB0P

The process is then published to version 2.0 and when the process is shared the new Minimode link is now: https://us.promapp.com/site/Process/Minimode/Permalink/qpXMmZrK51OSlF6QSaxA1

Both of these links will show the version 2.0 of the process.

Minimode links and minor (In Progress) versions

When a minimode link for a In Progress process (such as version 1.1), is shared by the process owner, any user with the link will be able to see the In Progress version of the process and is also able to switch to the most recent published version (such as version 1.0) of the process. When the process is published to the next major version, the previously shared minimode link will now show any user the newly published major version (such as version 2.0) instead of the prior In Progress version of the process.
