Rich text tasks and notes
Important: This feature is currently in open beta. For more information, see the Nintex Beta terms document. If something is not functioning correctly, please raise this with support@nintex.com
Use rich text formatting in a task description or note to make them easier to read.
Note: Formatting controls appear when the feature is enabled for your workspace. If you do not see them, ask your Nintex administrator whether the feature is enabled.
Tasks
Make a task description easier to read by applying bold, italic, or underline.
To format the text:
-
Locate the text you want to format:
-
Select the task description you want to edit. To add a new one, click Add task on the activity, then specify the text.
-
Select the text you want to format. The formatting toolbar appears above your selection.
-
Click Bold, Italic, or Underline. A button looks selected when that formatting is already applied to your selection. Click it again to remove the formatting.
-
Click outside the field to finish editing, then click Save Draft to keep your changes. After saving, reopen the activity and confirm that the formatting is still there.
The toolbar is hidden when no text is selected. If you click away from the field, the toolbar closes.
Notes
Make notes easier to read by applying bullet lists, numbered lists, and indentation.
To format the text:
-
Locate the text you want to format:
-
Select the note description you want to edit. To add a new one, click Add note on the activity.
-
In the note details (where you see Provide note details (Optional), place the cursor where you want the list to start, or select the lines you want to turn into a list.
-
Click Bold, Italic, or Underline. A button looks selected when that formatting is already applied to your selection. Click it again to remove the formatting.
-
Click Bullet list or Numbered list on the formatting toolbar. Click the same button again to turn the list back into plain text.
-
Press Enter to start a new list item. The new item does not copy bold, italic, or underline formatting from the item above it.
-
To indent text, select it and click Increase indent. Click it again to indent further. To move the text back, click Decrease indent.
-
Click outside the field to finish editing, then click Save Draft to keep your changes. After saving, reopen the activity and confirm that the formatting is still there.
Link editor
You can add or edit or link in your task or note descriptions.
-
Select the text you want to turn into a link.
-
Press Ctrl+K (Command+K on a Mac). The link editor opens above your selection and the formatting toolbar is hidden.
-
In the Paste link box, specify the web address. Use an address that starts with http://, https://, or mailto:.
-
In the Text to display box, specify the words you want people to see.
-
Press Enter to apply the link.
-
To change or remove a link later, select the linked text. In the link editor, click Edit link to change it, or click Remove link to turn it back into plain text.
Links to other types of address, such as addresses that start with javascript:, are not kept when the draft is saved. The link text stays, but the link no longer opens a page.
On a Mac, use Command in place of Ctrl.
-
Ctrl+B applies or removes bold.
-
Ctrl+I applies or removes italic.
-
Ctrl+U applies or removes underline.
-
Ctrl+K opens the link editor for the selected text.
-
Ctrl+A selects all of the text in the field you are editing.
-
In note details only, Ctrl+Shift+8 starts or toggles a bulleted list, and Ctrl+Shift+7 starts or toggles a numbered list.
-
To cancel, press Esc while editing to discard the changes made and return to the last text. This cannot undo changes already saved.
Considerations
-
When you are not editing, tasks and notes show their formatting as saved, and the formatting toolbar is not shown. While you drag a task, the preview shows the task text without any formatting.
-
Rich text formatting may not be enabled for your workspace. If you do not see them, ask your Nintex administrator whether the feature is enabled.
-
If you cannot find bullet list, numbered list, increase indent, or decrease indent, check that you are editing note details. These options are not available in note descriptions. The Ctrl+Shift+8 and Ctrl+Shift+7 list shortcuts also work in note details only.
-
If a link does not open after you save, select the linked text, click Edit link, and check that the address in the Paste link box starts with http://, https://, or mailto:. Save the draft, reopen the activity, and select the link to confirm that it works.
-
If your changes are missing, specify the text again, click outside the field to finish editing, and click Save Draft. Avoid pressing Escape unless you want to discard your edits to that field. If you leave the editor with unsaved changes, you are asked whether to leave without saving.
-
If a new list item is not bold, italic, or underlined like the item above it, this is expected. Select the new text and apply the formatting you want.
