Workflow Settings dialog box

This topic describes the selections in the Workflow Settings dialog box.

​Use the Workflow Settings dialog box to set the workflow title and description, workflow start options, workflow variables and start data, association columns, and select a custom start form.

Displays the Workflow Variables dialog box to create workflow variables and start data. See About workflow variables.

 

Association Columns

Displays the Association Columns dialog box to specify site columns to be associated with this workflow. See Associate site columns with list workflows.

 

Edit Start Form

Contains the following options for editing the start form associated with this workflow.

  • Edit with Microsoft InfoPath 2013: Edits the start form using Microsoft InfoPath 2013. If InfoPath 2013 is not installed, an alert is shown and no form editing occurs.
  • Edit with Nintex Forms: Edits the start form using Nintex Forms.

Title and description

Title Title of the workflow.

 

Description Description of the workflow.
Workflow options Start manually When selected, allows users to manually start this workflow from the list item menu. For more information, see Manually starting workflows.
  Require manage list rights (Available for list and library workflows only.) When selected, requires the user starting the workflow to have the Manage Lists right and the Contributor permissions level. 
  Require manage web rights (Available for site workflows only.) When selected, requires the user starting the workflow to have Manage Web Site rights.
  Start when items are created

(Available for list and library workflows only.) When Yes is selected, starts the workflow whenever a list item is created or uploaded.

Note: For list workflows (SharePoint lists and libraries), folders and sub-folders are subject to the same workflows as the parent library. Therefore, if you set a workflow to start when items are created or modified, any item, regardless of how many folders or sub-folders the item is stored within, it will trigger all the workflows that are set to start automatically. That behavior is governed by SharePoint.

Conditional (available for list workflows only): Displays the Conditions button to define conditions for starting the workflow (conditional start configuration). This button displays the Conditional Startup Options dialog box, which contains settings for defining one or more conditions based on field, operator, and value or field.

Note: New documents have no metadata so cannot be acted upon.

 

Start when items are modified

(Available for list and library workflows only.) When Yes is selected, starts the workflow whenver a list item is modified. Checking in a document will not trigger a workflow to start.

Note: For list workflows (SharePoint lists and libraries), folders and sub-folders are subject to the same workflows as the parent library. Therefore, if you set a workflow to start when items are created or modified, any item, regardless of how many folders or sub-folders the item is stored within, it will trigger all the workflows that are set to start automatically. That behavior is governed by SharePoint.

Enable verbose logging

When selected, logs verbose information for the workflow. See Enable and view verbose logging for workflows.

 

Publish without validation

Advanced option. When selected, skips validation when publishing the workflow. Skipping validation is not recommended. If the workflow is large and takes a significant length of time to publish, choosing to skip validation can decrease the time required for the publish operation; however, if a validation issue is missed, the workflow may show unexpected errors.

 

Enable workflow to start from the item menu

When selected, lists the workflow on the context menu for list items to facilitate starting of the workflow. All other menu item related options are dependent on this setting being checked.

 

Menu item label

(Available when Enable workflow to start from the item menu is selected.) The label for the context menu option to start this workflow.

 

Menu item image URL

(Available when Enable workflow to start from the item menu is selected.) The URL of the icon for the context menu option to start this workflow. The URL can be absolute or site relative.

 

Menu item position

(Available when Enable workflow to start from the item menu is selected.) The order priority of the context menu option to start this workflow relative to other context menu options.

 

Enable custom history messages

When selected, includes additional message logging in workflow history for actions with "Message to log on completion set" configuration. See Viewing workflow history and Configure common settings.

 

Create workflow status column

When selected, adds a column for the current workflow to the list or library when this workflow runs. The column uses the workflow title as its name.

 

Expected workflow duration

Allows you to specify an expected duration for running this workflow. When specified, the expected duration is recorded in the database for reporting purposes.

 

Task list

SharePoint task list for storage of tasks created by the workflow.

 

History list

SharePoint workflow history list for storage of workflow progress (each step within the workflow); allows use of lists enabled for Nintex Workflow. See Managing workflow history lists.

 

Form type

Type of start form to use for this workflow.

  • Default
  • InfoPath
  • Custom
  • Nintex Forms

 

Start page

(Displayed when Custom is selected for Form type.) URL of start page for custom start form.
