Types of training
There are different types of training to assess the skills and knowledge of staff and the Training Module makes it easy to build them.
To represent the different types of training and onboarding, Nintex Process Manager has the following components:
Training Units
A training unit is a flexible set of items a person needs to read, review and/or complete to be considered trained in a topic. A training unit typically covers a particular topic.
Example: Occupational safety and health training, Nintex Process Manager User training.
Each training unit will contain detailed requirements needed to complete the training as well as other information such as:
- if the training should be repeated, for example, to be completed annually.
- who is required to sign off the training, for example, Self sign-off or Supervisor sign-off and whether evidence is required on completion of the training.
- Reference material can also be attached, including referenced processes, documents, videos, links, or e-learning modules.
- Training Owners can assign and register employees to training.
- Completion can be scheduled at different times for different trainees.
For more information, see create or edit a training unit.
Competency units
Competency units have the ability to specify and track the overall competency of trainees Any user who undertakes a training unit, competency unit or onboarding, responsible for completing training as scheduled and to record completion if "self sign-off" is required.. Trainers can assess staff’s competency in a particular area across four levels, which can be configured and applied to all competency units. A competency unit is similar to training units A user who investigates the incident background, records findings in Nintex Process Manager, determines actions required, and assigns actions to Action Owners. but with the ability to specify and track the overall competency of the trainee with the following features:
- Define four competency levels for assessment.
- Use self assessment or supervisor assessment option.
For more information, see create or edit a competency.
Onboarding plans
An onboarding plan is a way to combine multiple training units, competency units, processes, documents, and other resources to fulfill a role or new starter skill set.
Tip: It is recommended that onboarding plans are created after training and competency units have been set up.
Onboarding plans can be created both individually for new starters and as a template for specific roles. Depending on the role that is allocated to the new starter, the onboarding plan will auto-populate with both training and competency units that already exist and are assigned to that particular role, as well as any processes that include that role as a participant or swim lane.
Note: Processes will only be added to the onboarding plan if the Process Change Acknowledgment feature is enabled for that particular process. This is to avoid too many processes being linked to onboarding plans.
For more information, see create or edit an onboarding plan.
Process Change Acknowledgements
- The Admin > Training > Process Acknowledgements > Require Process Acknowledgements setting:
- requires stakeholders to provide an explicit sign-off to acknowledge that they have reviewed and understood the process, when a process has been published or changed. Acknowledgements may be required for all processes or on a case-by-case basis.
- enables stakeholders to review and approve any changes to processes. This is essential for processes that are high risk or critical to business operations and any change to the process must be viewed and understood by all relevant stakeholders.
- Stakeholders Users who are not directly involved in the process, but are involved in processes affected by changes to your process. required to acknowledge a process change will receive an email and a notification on their My Changes dashboard whenever a change to the process is published. They can also complete process acknowledgments from a mobile device.
- Trainees Any user who undertakes a training unit, competency unit or onboarding, responsible for completing training as scheduled and to record completion if "self sign-off" is required. will receive an email and notification on their My Training dashboard for any processes added to their onboarding plan that they must acknowledge.
- If the Admin > Training > Process Acknowledgements > Require Process Acknowledgements setting is enabled, process acknowledgement is default for all processes and changes to a process must be acknowledged by all participants.
- Process Owners A user responsible for ensuring the process is operating effectively, and continuously improving. Not necessarily a subject matter expert, but empowered with organisational authority to approve changes as needed./Process Experts A user who performs day-to-day process management on behalf of the Process Owner. This role requires detailed understanding of the process. can manage process change acknowledgements for processes they own.
For more information, see configure process acknowledgements.
