Create or Edit an onboarding plan
Onboarding plans allow you to consolidate the list of training a new staff member should complete to be inducted into the organisation for their specific role.
An onboarding plan is built based on the training requirements for a specific role or roles. This includes training units and competency units they are required to complete, and any processes the must read and understand. Additional items can be added as required that may be specific to that person or only part of inducting a person into the organisation.
As the staff member completes each item on their plan this is tracked so the progress is visible and any missed or overdue items on the plan are easily spotted. Induction plans can be finalised once all the items on the onboarding plan have been completed.
Create onboarding plan for a role
Building an onboarding plan for a role allows you to establish the training requirements for a specific role and the period they need to be completed before someone starts in that role.
- Go to Training > Onboarding.
- On the top-right of the Onboarding tab, click Create Training > Onboarding plan for role.
- In the Build Onboarding Plan dialog box, select the role from the drop-down list.
- Click Build.
- In the Build tab, complete the required fields as displayed in the image and described in the table below:

Field Description Objective Specify the objectives for the onboarding plan. The objective should describe in brief the outcomes you want to deliver from the onboarding. It is recommended that this outlines the key goals or skills a person in the role must achieve after the completion of each key period in the onboarding plan. Training Units - Not Yet Allocated and Processes - Not Yet Allocated These sections list all the processes, training units, and competency units that have not been allocated to a completion period in the plan.
- Additional processes, training units, and competency units that you want to include but the role isn’t associated with can be added from this section. When building the onboarding plan for the first time all required processes, training units, and competency units associated with the role will be listed here.
- Items listed here should be allocated to one of the completion periods to set a date by which the training should be attended or completed, or the process must be read and understood. Items can be reordered to suit the logical order you would like trainees to complete them in.
- Items can be only ordered within the same completion period. For example, if you want to move an item from week 2 above an item from week 1, you must first change the completion period before moving it.
- The Exclude completion period can be used to indicate if the training unit/process doesn’t need to be attended or completed when a staff member starts in the role.
Training Units and Processes Collapsed by default, these sections contain all processes, or training items which have been allocated to a completion period in the plan. This section is where you can adjust what completion period a new staff member will be required to complete the training. - Click Save. The onboarding plan is created for the selected role and the associated details will be added for any user in that role when you create an onboarding plan for a new starter.

Building an onboarding plan for new starter allows you to create an onboarding plan based on the plans already created for the role in combination with any new training requirements you’d specifically like to add for the new starter.
Note: Before building an onboarding for a new staff member they must first be added as a user in Nintex Process Manager and have a role assigned to them. Any user can build an onboarding plan.
- Go to Training > Onboarding.
- On the top-right of the Onboarding tab, click Create Training > Onboarding plan for a new starter.
- In the Build Onboarding Plan dialog box, select the user from the drop-down list.
- Select a start date.
- Add or remove the roles for the user as required.
- Click Build.
- In the Build tab, complete the required fields as described in the table below:

Field Description Onboarding Owner Automatically displays the name of the user who creates the onboarding plan. You can change to a different user if required.
The onboarding owner is responsible for the onboarding of a staff member. This includes supervising and managing the timeframes for required training. They sign off the onboarding plan to confirm staff onboarding is complete.
Start Date The start date is when the new staff member will begin their onboarding. The due date for each item in the onboarding plan will be determined based on this start date and the completion period. Updating the completion period or start date will adjust the scheduled due date. Objective Specify the objectives for the onboarding plan.
The objective should describe in brief the outcomes you want to deliver from the induction for this particular staff member. This will be pre-populated from the objective stored in the base role onboarding plan.
