Create or edit a form using the AI Assistant

Important: 

  • This is a beta feature. It's available only when the feature is selected in the AI features for the tenant.

The Nintex Assistant is an intelligent, AI-powered tool that simplifies and enhances the form design process. Use the AI Assistant to leverage generative AI to complete design time tasks such as:

  • Quickly generate structured forms with controls and advanced elements like repeating sections

  • Create multi-page forms and format them effectively

  • Edit existing form properties (for example, make all fields in a Group control required)

  • Create rules and apply logic (for example, make fields mandatory or optional based on user input)

  • Style forms with themes (for example, use a predefined professional blue theme)

  • Provide help content

  • Provide intuitive suggestions throughout the form creation process

The AI Assistant provides faster time to value, unlocks creative solutions, and enhances productivity.

For best results, provide specific details about the form you want to generate or edit.

Beta Feature. The AI features in Nintex Workflow are beta features that provide new generative-AI experiments. Use is voluntary and for experimental purposes only, and your admin can turn off access to it at any time.

Integration with Azure OpenAI. AI features are enabled by integration with Azure OpenAI Service, which comes with Microsoft's built-in Responsible AI and enterprise-grade Azure security. You can learn more about Azure OpenAI Service here and about Microsoft’s applicable data, privacy, and security measures here. You acknowledge and agree that Nintex leverages Azure OpenAI Service to provide these AI features. By using AI features, you authorize and agree that Azure OpenAI Service may access, use, and store any Inputs and Outputs pursuant to its relevant terms and privacy policies.

Modification of Access and Use. Nintex may limit, modify, suspend, discontinue, or terminate your access to AI features at any time, with or without cause (without notice to you). Nintex may also separate these AI features from the Services at any time (without notice to you). Or Nintex may require payment for future or continued use (with notice to you). Nintex is not in any way liable to you for any limitation, modification, suspension, discontinuation, termination, or separation. Without limitation, the laws and regulations governing artificial intelligence and related technology are uncertain and evolving, and the ability to use these AI features may be adversely impacted in the future.

Inputs and Sensitive Information. You are responsible for ensuring that any content you make available while using the AI features (collectively, “Inputs”) is appropriate and permissible under Nintex’s Customer Use Policy and that you have the right to use such Inputs. In using the AI features, you are advised to safeguard important data; to not input confidential, personal, or sensitive information; and to use caution, particularly in relation to the Inputs.

Outputs and Verification. You are also responsible for any information, materials, or other content you generate using AI features (collectively, “Outputs”). You acknowledge that Outputs may not be accurate, complete, reliable, or otherwise fit for use (including from a legal and/or business perspective). Any Outputs should only be used as a starting point, and you should independently verify and cross-reference the Outputs with other reliable sources to ensure that the information or content is accurate, lawful, and otherwise appropriate and permissible under Nintex’s Customer Use Policy and before making any decisions or taking any actions based on the Outputs. You understand and agree that Outputs may not be unique across users and the AI features could generate the same or similar Output for other users. In addition, other users may input similar prompts and receive the same, similar, or different responses. You are not required to use any Outputs and should modify it as appropriate to ensure compliance with applicable laws, this notice, any applicable agreement with Nintex, and Nintex’s Customer Use Policy. Your use of the AI features and any content resulting from such use is entirely at your own risk. Nintex is not responsible or liable to you for the use of AI features or any Outputs. It is provided as-is without any warranties or guarantees of accuracy.

Acknowledgment. By using AI features, you acknowledge and accept that: (i) AI features integrates with third-party software tools provided by Azure OpenAI Service; (ii) your use is subject to this Disclaimer Notice and the terms of any applicable legal agreement between you and Nintex; and (iii) you have read, understood, and agree to this Disclaimer Notice.

Create a form using AI Form Assistant

You can provide a description of the form you want and create a new form. Example prompt: create a form that collects student information. For better results, provide specific information about the form you want to create or edit.

  1. Open the form designer.

  2. Hover over the icon on the right and click AI Assistant.

    The AI Assistant panel is displayed.

    Important: To access this feature, it has to be selected in the AI features for the tenant.

  3. You can get assistance to create a basic form or create a form based on a description your provide:

    • To create a basic form, click Generate a form. A basic form is created and displayed in the Form designer.

    • To create a form based on a specific requirement, ask a question or enter a description about the form you want to create in the text box and click AIAssistantSendButton.

      The generated form is displayed in the Form designer.

      Note: For better results, provide specific information about the form you want to create or edit.

  4. The generated form can be customized further in the Form designer or through the AI Assistant. You can also follow the AI assistant prompt examples to customize the form. For example, you can:

    • Add or remove controls

    • Change the form layout

    • Apply styles and rules

    Tip: To clear the AI Assistant chat window, click Clear Chat.

Edit a form using AI Assistant

You can use the AI Assistant to edit existing forms, edit layouts and themes, add rules to a form, or even ask questions and get help.

  1. Open the form you want to edit.

  2. Hover over the icon on the right and click AI Assistant.

    The AI Assistant panel is displayed.

    Important: To access this feature, it has to be selected in the AI features for the tenant.

  3. In the text, enter the description of your request and click AIAssistantSendButton.

Edit an existing form

Add, update, or remove controls from an existing form. You can add a description to update existing controls in the form.

Example prompts:

  • Make the phone number control read only.

  • Hide the phone number control.

  • Add a section to collect personal data.

  • Hide the Address control.

  • Make all the controls in the personal section required.

  • Make the default value of the Title control bold.

  • Copy the client information group control.

Edit the form layout

Reorganize your form layout using the AI Assistant.

Example prompts:

  • Organize the form into multiple pages.

  • Arrange controls side by side in a group.

  • Move the Address control to the top of the form.

Create a theme

Create a new theme, altering the theme and color of the form.

Example prompts:

  • Create a theme similar to Google.

  • Create a theme with an orange color palette.

Edit the existing theme

Modify the styling properties of the existing theme.

Example prompts:

  • Change the background color to green.

  • Make the font size larger.

Create a rule for the form

Define form behavior using rules based on user actions.

Example prompts:

  • Show the phone number control if the "Allow phone number" option is selected.

  • Hide the Address control when the country selected is not United States.

  • Make all controls in the Contact information section required if the Full name field is filled.

Ask the AI Assistant for guidance on using form features.
