After installing the K2 for SharePoint components using the Setup Manager, you need to add the K2 for SharePoint App to the SharePoint Site. To do this, follow the steps below:

1. Open your web browser and launch SharePoint.
2. When the SharePoint Portal opens, click Add lists, libraries, and other apps. The Site Contents page appears.



3. Click From Your Organization.



4. Apps from your organization appear. Click K2 for SharePoint.



5. A window displays asking you to trust K2 for SharePoint. Click Trust It.



6. When the K2 for SharePoint App finishes and installation completes on the SharePoint Site, the K2 for SharePoint App icon appears. Click the icon to configure the K2 App.

1. Specify the secure Runtime URL for the SmartForms site and click Next.



2. On the Configuring K2 Server Settings screen, K2 will run through various configuration settings to set up the App. As the configuration completes, green check marks will appear next to each component. Once the screen is completely finished, click Finish.

When registering the K2 for SharePoint App in a SharePoint Online(O365) environment, if there are no Environment Library fields with matching protocols for the SmartForms Runtime URL, SmartForms Designer URL and Web Service URL present the following errors will be displayed:

Registration Wizard Failure when Self Service Site Creation Feature is enabled in SharePoint

When registering the K2 for SharePoint App on a Root Site collection or a Root Site collection that was created by a non-admin user within an O365 environment, the Self Service Site Creation (SSSC) feature may cause failures during the Registration Wizard of the K2 for SharePoint App.

To resolve this issue follow the steps below:

1. When running the Registration Wizard, under the Application section, a warning is displayed.

   

2. Click the link to temporarily allow the application to upload pages.

   

3. Next the SmartForms Pages Upload screen will appear.

   

4. Enter the Office 365 Tenant Administrators credentials in the requested fields:
   • Admin Site URL: This is the Administration Site URL for the SharePoint Online Environment, for example:

     https://site-admin.sharepoint.com

   • Tenant Admin: This is the Tenant Administrators User name, for example:

     someone@onmicrosoft.com

   • Password: This is the Tenant Administrators password.
5. Clicking OK temporarily disables the SSSC Feature and uploads the required pages. Once complete, the SSSC feature is re-enabled and a green tick is displayed:

   

6. Click Close and the Registration Wizard is completed.

   

3. By default the K2 Permissions are configured in the background for Solution Designers and Solution Participants to Portal Members and Portal Owners Site Collection Groups. This screen will not be shown by default, but these permissions can be changed from the K2 for SharePoint > Settings page. From the Configure K2 Permissions screen, select the groups depending on their role in the workflow:
   
   • Solution Designers: create SmartObjects, Forms and Workflows (default). In addition, they are granted rights to start, view and action workflows (unless the default rights are altered)
   • Solution Participants: participate in the workflows by starting, viewing and actioning workflows.

   

4. To complete adding the K2 Application to the SharePoint Site, click Finish.
5. If prompted to allow the web page to open the site, click Yes.

   

6. The K2 App has now been added to your site. You can optionally modify General Settings or Permissions, or return to the Portal page

   

There are two K2 for SharePoint App Parts that you can add to your SharePoint Portal Page:

• K2 Worklist: displays a list of items that needs to be actioned. You can sort, search, view and complete items. Typically a worklist item is generated during one of the steps in a workflow. If a workflow step requires your action, such as an approval, an item appears in your worklist when the workflow reaches that step. You can also turn on your Out of Office (OOF) settings on and off from the worklist. For more information about how to do this see the Out of Office section.
• K2 Form Viewer: displays a list of forms associated with your K2 application, that you can run from your Portal page.

Follow these steps to add the App Parts to your SharePoint Portal Page:

1. From your SharePoint Portal, click on Page and click Edit from the menu.



2. Click on Insert and click App Parts from the menu.



3. You will see the two K2 App Parts on the left. Click on the one you want to add. Click Add.



4. Click Save from the menu.



5. The K2 App Part will now display on your SharePoint Portal Page.
