Workflow List

You can import workflows A no-code/low-code solution that is used to automate parts of a given process or the entire process end-to-end., associate workflows with your processes or view the list of all workflows in your Nintex Process Manager site from the Workflow List page.

Import workflows

You can import workflows from a Nintex Automation Cloud A cloud-based platform where you can design workflows to automate simple to complex processes using drag-and-drop interactions, without writing any code. tenant and associate them to processes in Nintex Process Manager so you can easily identify manual and automated tasks A specific step in an activity for a process.   1. Go to Automation > Workflow List.
  2. Click IMPORT WORKFLOWS. The list of all published workflows in the connected Nintex Automation Cloud tenant are displayed.
  3. Import the workflows:
    1. Select the workflows you want to import
    2. Click Import Workflows.

The selected workflows are imported and displayed in the Workflow List with Source = Nintex Automation Cloud import. If applicable, any automated start forms will also be imported and available in the document library. You can associate the imported workflows to a process as described in Associate a workflow.

View the workflow list

  1. Go to Automation > Workflow List. The list of all workflows in your Nintex Process Manager site is displayed with the following columns:
COLUMN NAME DESCRIPTION
WORKFLOW NAME The WORKFLOW NAME column links to the workflow. Click on the workflow name to open the link in a new tab. Only users with access to the Nintex Workflow platform where the workflow was created can view the workflow.

User associated: Workflow associations added as described in Add a workflow to the workflow list.
Nintex Automation Cloud import: Workflows imported from the Nintex Automation Cloud tenant as described in Import workflows.
Nintex Automation Cloud (draft): Workflows for which automation is requested from a Nintex Process Manager process and a draft workflow is created in Nintex Automation Cloud.
Nintex Automation Cloud: Workflows published in Nintex Automation Cloud for the automation requested from a Nintex Process Manager process.
DESCRIPTION Description of the workflow.
DESIGNER The person who designed the workflow, or the point of contact for information about the workflow.
START EVENT

The event which triggers the workflow to start.

ASSOCIATED PROCESS(ES) On hover, the ASSOCIATED PROCESSES column displays all associated processes which have been published with the associations. You cannot delete a workflow if there is an associated process.
  1. Click edit to edit the workflow fields:
  2. Caution: You cannot edit the workflow in Nintex Process Manager.The workflow can only be edited in the Nintex Workflow platform where it has been created, for example: Nintex Automation Cloud, Nintex for Office 365 or Nintex for SharePoint. You can only edit some of the workflow fields.

    • Only manually associated workflow fields can be edited. You can edit all fields, except the Start Event.
    • Click save to save changes.
    • Click delete to delete the workflow.
    • Click to close the edit dialog.

Add a workflow to the workflow list

  1. Navigate to Automation > Workflow List.
  2. Click ADD A WORKFLOW.

  1. In the Add a workflow dialog, complete all the required fields.

    Workflow Link

    A valid URL to the automated workflow in either Nintex Automation Cloud, Nintex for Office 365 or Nintex for SharePoint On-Premise. Displays on any associated activity as a clickable link for Automation Specialists An Automation Specialist is an IT / Technology Implementer/ Partner stakeholder who manages the relationship between the Process Expert and the Workflow Designer.     Note: The URL must start with https://<URL>.

    Start Event

    An event which triggers the automation of an activity A numbered step in the process consisting of a sequence of tasks. An activity is a major step in the process./task. You can select one of the following options:

    • Start Form: data is captured in a form to start the workflow.

      • When you select Start Form, the Automated Form Link text box will display.

      • Enter a valid link to the form. The link must start with https://<URL>.

      • The start form is added to the document library when you assign the workflow to an activity or task in a process and flagged as an automated form in the Forms list.

      • You can access documents added as part of the workflows from the Document Library.

    • Connector: an external system that starts the workflow.

      • When you select Connector, the Connector Name text box will be displayed.

      • Enter the name of the connector.

    • Scheduled Start: when a workflow starts at a specific time.

    Note: You cannot edit the Start Event once you add the workflow.

    Workflow Designer The person who designed the workflow, or the point of contact for information about the workflow.
  1. Click Add. The workflow is displayed in the workflow list. You can now associate this workflow to an activity or task in a process.
  2. To associate a workflow with an activity or task in a process, navigate to the editable view of the process and select Automate Activity/Task in the cog wheel for the procedure item. For more information, see Associate a workflow to an activity or task.
