Publish

Publishing a process turns a process draft into a published process that other people in your organization can find and use.

When you click Publish in the process editor, Nintex Processes guides you through a few short steps. It checks that the draft is ready, asks you to choose a folder if the draft does not have one, collects the details that describe the process, and then publishes it. The folder you choose stays with the published process, so people can find it in the right place.

Before you start

  • You need Permissions to edit the draft. The Publish button is available only on a draft, not on a process that is already published.

  • Save your changes first. The Publish button is unavailable while the draft has unsaved changes or is being saved.

  • A process must be in a folder before it can be published. You can choose the folder while you publish.

  • Every loop must have a target, and every linked process activity must point to a process. If something is missing, a message lists what to fix before you can continue.

Publish a draft

  1. Open the draft and save your changes.

  2. Click Publish.

  3. If a Select folder dialog opens, the draft is not in a folder yet. Choose a folder, as described in Choose a folder when you publish below. If the draft already has a folder, this step is skipped.

  4. In the Fill in process detail dialog, check the details that are already filled in from your draft. Complete the required fields. All fields except Background are required.

  5. If this is the first time that you publish the process, click Publish. The process is published straight away.

  6. If the process has been published before, click Continue. In the Publish dialog, optionally specify a Change description that explains what changed in this version, and then click Publish.

  7. Wait for the Process published successfully message. Nintex Processes then opens the published process. To confirm that publishing worked, check that the process shows as published and appears in the folder that you chose.

Note: Click Cancel at any step to stop publishing. The draft stays a draft and nothing is published.

Note: The owner and every expert must have editing rights for the process. A person without editing rights, or whose account is deleted or deactivated, is flagged with a message under the field. Remove them or select someone else before you continue.

See Process details for information on updating the process name, owner, expert, objectives, or background.

Troubleshooting

  • If Publish is unavailable, save your changes and wait for saving to finish. If it is still unavailable, ask the process owner or your Nintex administrator whether you have permission to edit the draft.

  • If you see Unable to publish. Please fix the issue(s) below, read the items in the message. Select a valid target for each incomplete loop, and select a process for each linked process activity. If a linked process is archived, deleted, or unavailable, choose a different process. Then save the draft and click Publish again.

  • If the Continue or Publish button in the Fill in process detail dialog is unavailable, complete every required field. Use the message under each field to see what is missing.

  • If a field shows that a person "doesn't have editing rights for this process", or that an owner or expert "is deleted or deactivated", remove that person and select someone else. Select people who have editing rights.

  • If the Select folder dialog shows No folders available, click Go to Folders. Create a folder, or ask for access to an existing folder, and then publish again.

  • If you see We couldn't assign the folder. Please try again, your folder selection is kept. Click Continue again.

  • If you see This draft has changed. Refresh and try again, reload the draft, check the latest changes, and publish again.

  • If you see This draft has already been published, the process has already been published. Open the published process to review it.

  • If you see Failed to save process details. Publishing was not started, click Retry. Your process was not published.

  • If you see Process details were saved but publishing failed, click Retry. Your details are saved, but the process is not published yet. If it keeps failing, contact your Nintex administrator or support. Include the process name and the exact message.

  • If you see You don't have permission to save changes to this process or This draft could not be found., ask your Nintex administrator to confirm your access to the draft.

  • To check that publishing worked, confirm that you see Process published successfully and that the published process opens and appears in the folder that you chose.
