Create a process
Important: This feature is currently in open beta. For more information, see the Nintex Beta terms document. If something is not functioning correctly, please raise this with support@nintex.com
If you are creating your first process or want to refresh your understanding of the basics, this information will help you get started:
To create a process
From your Processes > Folders window click Create > Process to create a new draft process.
From here you can manually edit the process, or use the AI Assistant to create and edit the process with you.
Process details
Click the triple dot
header actions menu and select Process details.
Note: The panel is read-only when you open it from the drafts list or from a folder, and when you open it on a published process. You can edit the details only in a draft process, in edit mode, if you have permission to edit that draft.
In the Process details configuration dialog, complete the required fields:
Field Description Name The name of this process.
The name is required. The name can be up to 256 characters.
Process Owner A process role. A Process Owner in Nintex Processes is responsible for managing the lifecycle of the process. The user responsible for ensuring the process operates effectively, and is continuously improved. This user may not necessarily be a subject matter expert, but empowered with organizational authority to approve changes as needed.
Click the drop-down and select a process owner. This user must have access permissions for this process.
The owner is required
Process Expert A process role. A Process Expert in Nintex Processes is responsible for keeping the process definition updated to match how the organization actually functions. A user who edits the process and performs day-to-day process management on behalf of the Process Owner. This role requires detailed understanding of the process.
Click the drop-down and select a process expert. This user must have access permissions for this process. To remove someone, click their check box to deselect them.
Folder location The folder that this process is filed in.
To change the folder:
Click Change folder.
In the Select Folder dialog, select a folder to open it.
To search, specify a folder name in Search folders. Use the path above the list to go back up. The selected folder line shows the folder you have chosen.
Click Confirm. The confirm button is unavailable until you have chosen a folder.
To close the dialog without choosing, click Cancel.
Check that the new folder name appears in Folder location, and then click Save Draft.
Objective Specify the Objectives of the process, up to 3000 characters.
The process objective is a clear description of what the process aims to achieve and when it does or doesn’t apply. Use examples to support your descriptions.
For example: This is the process for reimbursing small payments of less than $20. Most commonly, this is for buying coffee refills and milk if it runs out during the day, sometimes other urgent small things, like stamps. Gain approval as per the process before purchasing, and ensure you keep receipts as this needs to be filed. Anything over $20 needs to go through the Staff Expense Claims process.
Background (Optional) Optionally, specify Background information, up to 3000 characters.
The process background provides context on why the process is needed, including any special circumstances that may affect it and relevant legislation or regulations that contribute to its necessity. For example, explain why the process is required or provide the reasoning behind any special circumstances.
Note: The owner and every expert must have editing rights for the process. A person without editing rights, or whose account is deleted or deactivated, is flagged with a message under the field. Remove them or select someone else before you continue.
Once the above options are configured, click Save.
See Edit a process for the next step to start inserting steps into your process.
Considerations
-
If the details do not load, open the panel again. If the problem continues, contact your Nintex administrator or support and include the process name and the exact message.
-
If you cannot edit the details, open the draft from the drafts list or its folder, click Edit mode on the toolbar, and then open View process details from the header actions menu. If the Edit mode button is missing, ask the process owner or your Nintex administrator for permission to edit the draft. To change a published process, click Edit to create a draft first.
-
If the panel flags the owner or an expert, remove them and select someone with editing rights for the folder. Deleted or deactivated people must be replaced with an active user. You can also ask the folder owner to give the person editing rights.
