AI Assistant

Important: This feature is currently in open beta. For more information, see the Nintex Beta terms document. If something is not functioning correctly, please raise this with support@nintex.com

The Nintex Processes AI assistant is an AI integrated chat panel in the process editor that helps creates a first draft of a process from your description, and edits an existing draft from your written instructions.

Instead of starting from a blank canvas or finding the right controls, you describe what you want in your own words. The assistant builds or changes the draft for you, and you can keep refining it in the Map view or the Procedure view like any other draft process.

You can use the AI assistant to:

  • Create a draft process. Describe a process and the assistant generates a title, an objective, and the activities, decisions, and process flow. By default the result is a high-level draft. It does not break activities down into detailed tasks and notes unless you ask for that.

  • Edit a draft process. Give an instruction such as "Add an approval step after the manager review activity". You can ask the assistant to add or remove activities, add or remove tasks and notes on an activity, turn an activity into a decision, and reorder steps in the process.

  • Explain a draft. Ask the assistant to describe the process in plain language. An explanation does not change the draft.

The AI assistant only handles requests about creating, editing, and explaining the process that is currently open in the editor. It does not act on other requests.

Note: The AI assistant is not available on a published process, or while you are previewing an earlier version of the process.

Create a draft process

The AI assistant saves the generated process to the draft that is open, and the result replaces the content that is currently on the canvas.

  1. Open a new process draft in editing mode, then open the assistant panel.

  2. Describe the process you want to create. Include the purpose of the process, the main steps, and any decisions.

  3. If the assistant asks clarifying questions, answer them. Your answers help it understand the scope and structure you need.

  4. Click [missing information] to start the generation.

  5. Wait while the assistant builds the draft. Generating process... shows over the canvas until the draft is ready.

  6. Review the activities, decisions, and process flow on the canvas. The title and objective of the process are filled in from the result. The draft is saved automatically and a Process saved successfully message shows.

  7. Edit the draft as you normally would, or ask the assistant for further changes.

Edit a draft process

You can use the AI assistant do make changes to specific steps in your draft process.

  1. Open a draft in editing mode, and open the assistant panel.

  2. Type your instruction. Be specific about which activity you mean and where a change should go. For example, "Add an approval step after the manager review activity".

  3. If the assistant asks a clarifying question, answer it. If the instruction is still unclear, the assistant makes no changes and asks you to restate it.

  4. Watch the canvas. Items that the assistant plans to change are highlighted with an animated border. Items where it changes content inside an existing item, such as a task or note, are highlighted with a blue border.

  5. When the assistant finishes, check the change on the canvas. The draft is saved automatically and a Process saved successfully message shows.

If you give several instructions at once, the assistant applies the steps that are valid and tells you which steps it could not apply and why. There is no undo for changes the assistant makes. To change the result, send another instruction in the assistant panel.

Explain a draft

  1. Open a draft in editing mode, and open the assistant panel.

  2. Type your instruction. Be specific about what level of detail you want the assistant to create in the explanation.

Stop the assistant

While the AI assistant is working, use the stop control in the assistant panel. The canvas highlights and the Generating process... message are cleared.

Review who made the changes

Changes made with the assistant are saved against your name, not against the assistant. In the changelog, entries for these changes show an AI Assisted label next to the author.

Considerations:

  • The AI assistant only shows when the feature is enabled for your workspace. If you do not see it, ask your Nintex administrator whether it is enabled.

  • The AI assistant never publishes a process. Everything it creates or changes stays in the draft until you publish it.

  • If the assistant panel is docked and closed, select the button at the right edge of the canvas to open it again.

  • If the assistant makes no change, or the change is not what you wanted, send a more specific instruction. Name the activity you mean and say where the change should go. Break a long request into smaller instructions.

  • If the assistant reports steps it could not apply, read the reasons it gives, then correct and resend those steps.

  • If you see Failed to save. Please try again., send the instruction again or save the draft.

  • If you see This draft has changed. Refresh and try again., reload the draft to get the latest version, then repeat your instruction.

  • If you see This draft has already been published., the assistant cannot save changes to it.

  • If you see You don't have permission to save changes to this process., ask your Nintex administrator for access to edit it.

  • Check that the issue is resolved. After the assistant finishes, a Process saved successfully message shows. Open the changelog and confirm that the entry for the change shows the AI Assisted label.
