File upload storage

Important: The File upload storage setting is applicable only when Default file storage is disabled. For information about default file storage, see Default file storage.

The File upload storage setting determines how long files uploaded to submitted workflow start event forms or task forms are stored in Nintex Automation Cloud. Depending on the setting selected, they will either be retained in Nintex Automation Cloud or removed seven days after the workflow instance is completed.

In My Nintex, participants can see files they have submitted via start forms and task forms. If the relevant My Nintex settings are enabled for a workflow, users participating in a workflow by interacting with a workflow instance can also see the files uploaded with form submissions (start event forms and task forms) for the instances of workflows they've interacted with. Note: 
  • Users that participate in a workflow by interacting with a workflow instance can be a user with any role in Nintex Automation Cloud.

  • Signatures included in forms are saved as a file.

Update file upload storage settings

  1. On the top navigation bar, click Settings.

    The License and subscription page is displayed, with options on the left navigation menu.

  1. On the left navigation menu, click File upload storage.

  2. Select one of the following options for Store file uploads :

    Important: 
    • Select the Indefinitely option if you want participants to be able to see files that are submitted with start event forms and task forms in My Nintex.The files can be viewed only via My Nintex.

    • The setting is evaluated when the workflow instance is completed, therefore updating the setting impacts both running and new instances of workflows. For example, if the current selection is Indefinitely and it’s changed to For 7 days after workflow instances complete, then all the files that were previously stored will remain, however users will be blocked from viewing them in My Nintex. In this case all files of future workflow instances will be deleted after 7 days. If the setting is subsequently switched back to Indefinitely, then the previously stored files will be visible in My Nintex. If a workflow completes while the setting is set to For 7 days after workflow instances complete and is subsequently updated to Indefinitely, then the files in the completed workflow will be deleted 7 days after the instance completes.

    • Indefinitely: When selected:

      • The uploaded files are stored indefinitely in Nintex Automation Cloud.

      • Participants can see the uploaded files they have submitted with start event forms and task forms in My Nintex.

    • For 7 days after workflow instances complete: This is the option selected by default and when selected:

      • The uploaded files are only stored for seven days after the workflow instance is completed.

      • The files are only saved in Nintex Automation Cloud and Participants are not able to see files they have submitted with start event forms and task forms in My Nintex.

  3. Click Save.
