Step 1: Identify the workflow you want to upgrade
The first to step to start upgrading your workflows to Nintex Workflow is to identify the workflows you want to upgrade from Nintex for Office 365.
1. Review your workflow inventory |
-
Sign into Nintex Insights to review your inventory of workflows.
These reports provide information such as Workflow Name, Workflow ID, action counts, etc. so that you can review your inventory and start to plan what workflows need to be migrated to Nintex Workflow. For a deeper dive into finding your workflow inventory, please refer to Using Nintex Insights/KYFW to find your workflows.
2. Prioritize your workflows for migration |
There are several ways to determine your workflow prioritization, and this will look different for every customer. To get started, here are some important questions to consider.
-
Which departments/sites/site collections have a higher priority when it comes to migrating?
-
How many workflows have dependencies, or call component workflows that need to be migrated together?
-
Which workflows are larger, more complex, or will take longer to migrate vs. your smaller workflows that are quick wins?
-
Clean-up: Which workflows are old, outdated, or no longer being utilized by the organization and can be removed from the scope completely?
3. Open the workflow gallery |
-
Sign into the SharePoint Online tenant and open the workflow gallery.
The workflow gallery is displayed. If upgrade is enabled for the tenant a message is displayed in the workflow gallery. The message displayed indicates that the workflows in the SharePoint Online tenant are ready to be upgraded to Nintex Workflow.
The following column is added to the workflow gallery:
-
Upgrade to Nintex Workflow (NWC) status: Indicates the upgrade status the workflow is currently in. When you start the upgrade of a workflow, the Upgrade status displayed for the workflow in the workflow gallery is updated. The different statuses include:
-
Getting status: The upgrade status of the workflow will be available soon.
-
Ready to upgrade:The workflow is ready to upgrade to Nintex Workflow.
-
In progress: Upgrade is in progress.
-
Draft created in NWC: The workfow has been upgraded and a draft is in Nintex Workflow. Click the status link to open workflow in Nintex Workflow.
-
Completed: The workflow has been upgraded and published in Nintex Workflow and the workflow has been deactivated in Nintex for Office 365.
-
Duplicated published workflows: The workflow has been upgraded and published in Nintex Workflow and the workflow is not deactivated in Nintex for Office 365, which may result in duplicate instances.
4. View the upgrade details of a workflow |
Before you select the workflow to upgrade you can view the upgrade details of a workflow in the pre-upgrade details report.
Use the pre-upgrade details report to view upgrade details of workflow actions and task form controls that are included in the workflow before you upgrade workflows from Nintex for Office 365 to Nintex Workflow. If the workflow has any task actions with a task form, the details of the task form controls are also displayed.
There are some actions, task form controls and features that are available in Nintex for Office 365 that are not available in Nintex Workflow. The pre-upgrade report allows you to identify these in the workflow before you do the upgrade.
