Workflows - Step Authorization

The Workflow node allows you to control who can view and use workflow steps in the K2 Workflow Designer. This allows you to restrict access to steps that you don't want being used in workflows. You must be a member of the security administrators role to apply step authorization. For more information about how security works in the K2 platform, see Authorization Overview.

Follow these steps to add authorization to a step:

  1. Select a step from the Categories node, such as the Call Sub Workflow step shown here.
  2. On the Security page, add a user, group or role by clicking the Add button.
  3. On the Add Users, Groups, And Roles page, search and add a user, group or role. Click OK.
  4. Specify the user, group or role's View rights. If the step is inheriting rights from its parent folder, the following rights are available: Allow, Deny and Inherited Allow. If the inheritance is broken, the following rights are available: Allow, Deny and None.
  5. Add more users, groups and roles to the Security page if necessary, and then click Close.
    When specifying users, groups and roles for Step authorization, the Everyone Role is added during installation. This allows all authenticated users, to view and use Steps. The best practice would be to modify the Everyone Role's view to None on the Categories folder, and grant permissions to users, groups and roles.

Follow these steps to edit authorization on a step:

  1. Select a step from the Categories node.
  2. On the Security page, add a new user, group and role, or edit existing users, groups, roles and rights.

Follow these steps to remove authorization on a step:

  1. Select a step from the Categories node.
  2. Select a user, group or role from the Security section and click Remove.
