Categories

The Categories node contains all the categories defined in the environment and will list the artifacts such as SmartObjects , Views, Forms and Workflows - Step Authorization that exist in the categories within the Categories system. Click on a Category to see the Views, Forms, SmartObjects and Workflows. From here you can perform several of tasks for Views, Forms, SmartObjects and Workflows. In each category folder, an administrator can rename, move, view and edit. The security administrators role can apply Category Authorization to category folders. For more information, see the Authorization Overview topic.

Only workflows that were created in the browser-based designers such as the Designer will appear in the Categories system. If your Categories node is empty, you have not been granted rights to the child nodes. See Category Authorization for more information.

To rename a category folder, follow the steps below:

  1. Select a category folder in the categories tree and click Rename.
  2. The Rename Category page opens. Enter a new Name for the category and click OK.
  3. The category folder is renamed.

To move a category folder, follow the steps below:

  1. Select a category folder from the categories tree and click Move.
  2. The Move Category page opens. Select the new location for the category and click OK.
  3. The category folder is moved to the chosen location.

The Edit option allows you to edit artifacts that exist in a category folder such as Forms, SmartObjects and Workflows.
To edit an item in a category folder, follow the steps below:

  1. Select the category folder where the artifact resides. In the window on the right, select the artifact and click Edit.
  2. The artifact opens in the Designer for you to edit.

The Open button allows you to open a category folder or artifacts properties page in the Categories node. (For example, purposes, the steps below describe opening the artifacts properties page. The same approach applies to opening sub folders.)
To open a category folder or artifact, follow the steps below:

  1. Select a category folder from the categories tree, then select an artifact and click Open on the category folders root page.
  2. The artifact properties page opens.

Category Authorization allows security administrators role to apply authorization on category folders in the Categories node. This allows those in the security administrators role to control which users, group and roles can view, create, modify, execute, delete, and apply security to a category folder in your environment. For more information see the Authorization Overview topic.

All category folders and Artifacts within these folders, inherit rights from their parent folder. For example, category folders and Artifacts within these folders, inherit rights from the Categories folder. Inheritance can be broken or added via the Break Inheritance and Inherit Permissions buttons in the Security view of the category folder. For more information see the Authorization Overview topic.

Follow these steps to add authorization to a category folder:

  1. Select a category folder from the Categories node.
  2. On the Security page, add a user or group by clicking the Add button.

  3. On the Add Users, Groups, And Roles page search and add a user or group. Click OK.
  4. Specify the user, group or role's View, Create, Modify, Execute, Delete, and Security rights. If the category folder is inheriting rights from the Categories folder, the following rights are available: Allow, Deny and Inherited Allow. If the inheritance is broken the following rights are available: Allow, Deny and None.

  5. Add more users, groups and roles to the Security page if desired. Click Close.
    When specifying users, groups and roles for Categories folder security, the Everyone Role is added during installation, providing all authenticated users, the ability to view and execute the Categories folder. Best practice would be to modify the Everyone Role's view and execute rights to None on the parent folder, and grant permissions to users, groups and roles according to your organizations requirement.

Follow these steps to edit authorization in a Category Folder:

  1. Select a category folder from the Categories node.
  2. On the Security page, add a new user, group and role or edit existing users, groups and roles and rights.

Follow these steps to remove authorization in a Category Folder:

  1. Select a category folder from the Categories node.
  2. Select a required user, group or role from the Security section and click Remove.

  • Workflows you create in the Designer and K2 for SharePoint appear in the category system.
  • SmartObjects, views, and forms you create in the Designer are not visible in K2 for SharePoint.
  • Use the K2 for SharePoint Artifacts page to edit artifacts you create in K2 for SharePoint. K2 for SharePoint directs you to and from the Designer for editing.
  • Do not move existing artifacts out of the SharePoint folder using the Designer category tree – doing so can result in missing artifacts and broken applications.
  • You cannot edit or delete system artifacts such as SmartObjects, views and forms.
