K2 Worklist
The K2 Workspace Worklist is a web-based application which contains all the work items assigned to the logged in user. This means you can see all activities assigned to you in one central location.
The K2 Worklist contains all the work items for the current logged in user. The items on the worklist are generated and assigned by the workflow. The table below explains the available fields:

The flag icon is a visual indication of the work item status.

Priority Dot |
The Priority Dot depicts the priority of the work item. The priority is set in the workflow at design time.

Folio | This column displays the folio name / number of each work item. The folio name is set in the workflow process at design time | Hover at the end of the Folio column on a work item and click on the drop down arrow to access the context Actions menu. From this menu the user can Open the work item, view Data Fields, display the View Flow and select an Action. Also available is the ability to Sleep, Redirect or Delegate the worklist item |
Event Name | This column displays the workflow event name applicable to the work item. | Display only. |
Event Start Date | This column displays the date and time the event, applicable to the work item, was started. | Display only. |
Activity Name | This column displays the workflow process activity name applicable to the work item. | Display only. |
Status |
This column displays the status of the task item in the worklist. Available would signify that the task is waiting to be worked on . Open - The work item has been opened by the person it was allocated to. |

Original Destination | This column displays the original destination of the item. This is specifically applicable to Out of Office users. | Display only. |
The K2 Worklist contains the following:
- Filter options to filter what work items displays in the worklist.
- Search options to find work items within the worklist.
- Batch Processing to action more than one worklist item with the same outcome.
- Configuration Settings option to customize the worklist and set the user Out of Office.
- Refresh option to refresh and update the work items.
- Out of Office status icon to display whether the user is Out of Office.
The Flag next to the work item displays the status of the work item. The available flags are Green, Yellow and Red
The table below explains the available colors:

Green |
Current Time < Start + Expected Duration A Green Flag displays if the total time of the work item’s start time plus the expected duration time is less than the current time. |
Yellow |
Start = Expected Duration <= Current Time < Start = Expected Duration + 24 hours A Yellow Flag displays if the total time for the work item’s start time plus the expected duration time plus 24 hours, is greater than or equal to the current time. |
Red |
Current Time > Start + Expected Duration + 24 hours A Red Flag displays if the total time for the work item's start time plus expected duration time plus 24 hours, is greater than the current time. |
Expected Duration is based on Activity Expected Duration property and NOT on Event Expected Duration.
The dot in the worklist item displays the priority of the item. The available priorities are:
- Yellow - Low Priority
- Blue - Normal Priority
- Red - High Priority
The dot priority settings are set up during the workflow design. Priority status can be set on Event and / or Activity level on the workflow.
