Item Reference Event Wizard - Overview

When the Item Reference Event Wizard has been configured, an Item Reference gets created that points to either SharePoint List items, SharePoint Documents, or CRM Entities. An Item Reference can point to one or more items.

What is a Reference Field?

A Reference Field is a re-usable process object that is created in the K2 Environment that contains data referring to a specific external SharePoint or CRM object. It is an XML field where all the references to documents and lists are stored. It is similar to the  a content field with the difference that all the SharePoint and CRM events use the same field.

When Would a Reference Field be Used?

Once configured, the Reference Field is available from the K2 Context Browser and can be applied to other process events.

This basically means that, at design time, you have a “pointer” or reference to a number of items in SharePoint or CRM, without actually having the documents/items at hand.  You can then use these references in subsequent activities in the process, to get the data and perform actions on the referenced items.
