Scheduled DocGen Packages

Scheduled DocGen Packages give you the ability to generate documents on a scheduled basis (daily, weekly, or monthly). You can send these documents to a list of users, contacts, profiles, and roles. If you have Enterprise Edition, you can utilize Microsoft Excel to combine and manipulate data from different sources in your output. For more information, see Microsoft Excel as middleware.

Create Scheduled DocGen Packages

Create Scheduled DocGen Packages using a Salesforce data source.

  1. Navigate to DocGen Packages. (You can also select this from Lightning with the App Launcher.)

  2. Click New.

  3. Select Report for the Starting Object.

  4. Enter required information in these fields:

    • DocGen Package Name

    • Type

    • Frequency

    • Day

    • Time

  5. On the DocGen Package Data tab, under Report Options, select an email template.

  6. Under Email Report To, select recipients for the report.

  7. Click Save.

  8. Click Activate Report at the top right of the page.

The Scheduled DocGen Packages run automatically on the schedule you set in the DocGen Package.

Note: You must click Activate to activate your Scheduled DocGen Packages. You can deactivate Scheduled DocGen Packages by selecting Deactivate Report or test your DocGen Package by clicking Test Report.

Scheduled DocGen Package field reference

Section Field Description
DocGen Package Details Name Enter the name of your Scheduled DocGen Packages here. This will appear in a list view of DocGen Packages in DocGen Packages.
  Type

Select the type of document you're generating. The options in this drop-down list include:

  • Quote

  • Proposal

  • Contract

  • Service Agreement

  • Legal Agreement

  • Letter

  • Account Plan Summary

  • Invoice

  • Reporting

  • Product Information

  • Other

When the Other option is selected you can enter your custom type in a text box that appears.

  Locale Add locales to your DocGen Packages based on the origin of your Salesforce org.
  Status This field notifies you whether your Scheduled DocGen Packages is Active or Not Active.
  Last Sent Displays the the date/time the Scheduled DocGen Packages was last generated.
  Scheduled Delivery Option Select a delivery option that is configured in the DocGen Package.
  Starting Object The starting object (e.g., Opportunity) that you are using for your DocGen Package. For a scheduled DocGen Package, select Report as the starting object.
  Description A field to describe your document.
  Frequency Here you can set the frequency for which your Scheduled DocGen Packages will be sent. Your options are: Daily - Scheduled DocGen Packages go out every day at the time specified in the Time (3) field. Weekly - Scheduled DocGen Packages go out every week on the day specified in the Day (3) field. Monthly - Scheduled DocGen Packages go out every month on the day selected in the Day (4) field.
  Day If Weekly or Monthly is selected in the Frequency field you must select the day in which the Scheduled DocGen Packages will be processed. Selecting Weekly will make Sunday - Saturday selectable. Selecting Monthly will make days 1-30 selectable.
  Time This field allows you to set the time in which the Scheduled DocGen Packages will be sent.
Report Options Document Output Type This dropdown allows you to control whether you will produce a PDF file or keep the file in its original format.
  CC Add email addresses or dynamic email addresses using the Field Tagger to copy when delivering the DocGen Package via email.
  Default Email Template Folder This dropdown allows you to select the folder where your template is stored.
  Template This dropdown allows you to select a template for your report. The template will need to be created before you can schedule a DocGen Package.
  Mass Recipient Report Folder Select the folder where your Salesforce report resides that you want to use as the Mass Recipient Report.
  Mass Recipient Report As an alternative option to indicating the recipients of your scheduled DocGen Package in the Email Report To section, use this field to select a report to indicate the recipients.
  Org-Wide Email If available in your Salesforce org, select a generic email address from this field. This will be the email address that your report will be sent from if you do not want to use your own.
  Additional To Add email addresses or dynamic email addresses using the Field Tagger to be included in the To line when delivering the DocGen Package via email.
  BCC Add email addresses or dynamic email addresses using the Field Tagger to blind copy when delivering the DocGen Package via email.
Attach Options Store As If you choose to store the output files of your scheduled DocGen Package, use this field to indicate where you want them to be stored.
  Content Library If you choose to store the output files of your scheduled DocGen Package as content, use this field to specify which Library you want to store them in.
  Require Output to be attached If you select this checkbox, the DocGen Package output will be stored as specified in the Attach As field.
Email Report To Recipient Type Select User, Contact, Profile, Role, or None. The Available Recipients will dynamically generate based on your selection.
  Available Recipients Users, contacts, profiles, or roles which are available to receive the scheduled DocGen Packages.
  Selected Recipients Use the arrow keys to choose from the Available Recipients and add them to the Selected Recipients if you want them to receive your Scheduled DocGen Packages.
