Nintex Process Manager Search
This topic describes the search query elements and how these elements are applied to queries in Nintex Process Manager. Use this information to get the most relevant results when searching in your Nintex Process Manager site. The details covered in this topic are only applicable when you search for a process or document from the Search box on the Home Page or on the top right of the navigation bar in your Nintex Process Manager site.
- Do one of the following:
- Type the search term in the Search box on the Home Page.
- Type the search term in the Search box on the top right of the navigation bar.
- Results are displayed after you enter a minimum of three characters.
- The following fields are used for searching:
- Process name
- Process reference number
- Process keywords
- Document name
- Document reference number
- Document search tags
- Process group name
- Documents are included in the search results if there are matches.
- Do one of the following to search all documents and process content:
- Select one of the results from the quick search drop-down list.
- Press Enter.
- Click

- Click See all results for <search term>.
The search quick results list (shown in the drop-down result list) searches the process and process group titles only. Press Enter or select the magnifying glass to open the full search for all documents and published process content i.e. summary information and process steps: process activities, tasks, notes, documents, process links.

Search results are ranked in the following order for search terms that are either an exact or partial match:

Exact search term found in Name or Reference number fields will be ranked higher than Background, Objective, Activities, Tasks, Decision text, Decision process links, Conditional process links, Notes, Linked process names, Web links, Search tags fields regardless of whether it is a process or document.
When an exact search term appears in a Document name and Process objective, then document is displayed first in the search results. This is because the Name has higher ranking score than Objective.
The matching content in published processes is given priority in the search results.
When an exact search term appears in both the Document name and Published process, then the Published process displays first in the search results list because it's score has a higher ranking.
- To further refine your search, in the full Search Results page you can:
- Update your search term and click Search.
- Select a specific type from the Filter by Type options:
- All (default)
- Processes
- Procedure Only Processes
- Groups
- Documents
- Policies
- Suggested Processes
- If you select a specific type you may then select Matching Section options. This further refines your search to a subset of the following options depending on your selection (some types only have two or three available):
- Title
- Activity
- Tasks
- Notes
- Objectives
- Background
- Tags
- Select a specific Process Group Process groups are a collection of processes that share a common theme or objective. Process groups enable you to organize and manage your processes, arranging them in helpful categories and controlling who has access to them. in the Filter by Group list. You may also search for a specific group in the Filter by Group search bar.
Nintex Process Manager search results:
- Do not include:
- Any input or output fields.
- Archived processes or archived documents.
- Risk and Compliance Add-on, Improvements Module, and Training Module content. Use the Search in the Register pages for the Add-ons.
- Match any part of the search term, including partial matches.
- Highlight any part of the search term that returns a match. Special characters are not highlighted in search results.
