Import or Export process groups

Promaster A Nintex Promapp system administrator who administers a Nintex Promapp site and has rights to view and edit all areas of a Nintex Promapp site. privilege is required.

You can import and export process groups in XML format. Exporting to XML is a way to take an offline backup of the process group. The file format of the exported process group is unique to Nintex Process Manager and can be imported into the same or another Nintex Process Manager site.

Export process groups to XML format

1. Go to Processes > All Processes and click on the process group.
2. On the top-right of the process group map, click > Import/Export > Export to XML.
3. In the Export to XML dialog box, under the Include sub groups and processes section, select one of the following options:

Option	Description
Only this group	The exported XML includes only the current process group.
This group and any processes and groups within this group	The exported XML includes the current process group and immediate processes and sub-groups (processes under the sub-groups are not included).
This group and all processes and process groups below	The exported XML includes the current process group and all processes and sub-groups, including the processes under the sub-groups.

4. Click Export.

Import process group limitations

• All imported processes will display an In Progress status.
• If a process map is replaced by an image, the image does not get imported in the imported process map and displays a blank map post import. You must manually replace the image.
• If roles/responsibilities in the imported process group are not available in the Nintex Process Manager site, new roles/responsibilities are created.
• If the users assigned as Process Group Champion, Process Owner, Process Expert or Process Stakeholder are not found, they are changed to Needs to be reassigned N/A . If a stakeholder is not found, the references are deleted from the Process Stakeholders section.
• If a sequential / parallel / decision / conditional process link, linked to a process group overview is not found, the link is deleted.
• If a sequential / parallel / decision / conditional process link is not found, it is displayed as an activity.
• If a process link in a Note is not found, the link is deleted.
• The inter-linking of processes might change based on the order in which the processes are imported. For example: If a child process is linked to a parent process and while bulk importing the child process gets imported after the parent process, the child process link will be converted to an activity in the parent process.
• Linked processes in the imported process / group will link to the existing processes in the Nintex Process Manager site instead of the processes that are being imported if you already have processes and process groups with the same names.
• Process shortcuts are not retained in the imported process structure.
• Attachments are converted to tasks with the name of the document (with attachment type as the prefix).
• Process group stakeholders (for example: Process Editors, Document Stakeholders, Process Approvers ,Process Publishers) are not transferred when you export and import a process group XML.
• If the process XML has a risk associated with it, the Risk reference is not exported.
• If the process XML has an incident associated with it, the incident reference is not exported.

Import process groups from XML format

Select a valid process group XML file to import. To get a valid XML file you can export a process group from your Nintex Process Manager site or another Nintex Process Manager site. All the groups and processes in the XML file will be added underneath the current process group.

1. Go to Process > All Processes and click on the process group.
2. On the top-right of the process group map, click > Import/Export >Import from XML
3. In the Import from XML dialog box, click Choose File and select the XML file.
4. Click Import.

Note: Depending on how many process groups / processes you are importing, the import process might take some time to complete (in the order of 1 minute per 100 processes).
