Variation categories
Promasters A Nintex Promapp system administrator who administers a Nintex Promapp site and has rights to view and edit all areas of a Nintex Promapp site. can configure the required settings and create variation categories for the Process Variant Management Add-on as described in this topic.
Variation categories group similar processes with differences. Each varied process within a variation category is referred to as a variation. For example, several processes might have variations for different regions or different customer types. Variation categories can be:
- Applied to an unlimited number of processes.
- Assigned to process groups and users.
You may have several processes such as the following that are slightly different depending on the country:
- Onboard new employee
- Apply for sick leave
Some examples for variation categories are:
- Country or site
- Product
- Service level
- Customer
Before you start
Variation categories can only be set up by a Promaster A Nintex Promapp system administrator who administers a Nintex Promapp site and has rights to view and edit all areas of a Nintex Promapp site. but are used by users that have edit rights to update variations. For example, a Promaster A Nintex Promapp system administrator who administers a Nintex Promapp site and has rights to view and edit all areas of a Nintex Promapp site. can set up a variation category 'Country' and users with edit rights can use that category to create variations of a process for Australia and Canada.
Ensure that the Promaster for your Nintex Process Manager site ( On the top-right of your Nintex Process Manager site, click Help > Contact Promaster) has created the required variation categories.
Setting | Description |

Enable process specific variations (Default: Off) | Allows creating process-specific variations. |
Custom Process Specific Variation Label | Displays the label for creating the process-specific variations. |
- Go to Admin > Variations.
- Click Add Variation Category on the top-right of the Variation Categories section.
- In the Variation Group section, type a Category Title, Short Title, and Description (optional).
- Click . You can now add variations to the variation category.
- Click Add Variation.
- In the Variations section, type a Title and Description (optional).
- Click .
Default variation groups can be set at a process user or role level. The default variation is displayed when you navigate to a process in this process group for this first time. If multiple variations are assigned then the following precedence takes effect:
- User
- Role
Note: Only one default variation per variation group can be set. If you try and add a new default variation it will override the latest saved default for that variation group.

- Go to Admin > Users.
- Click > Add Default Variation.
- In the Select default variation dialog box, select variation group and variation from the drop-down lists.
- Click .
All users who can access the Admin > Roles page can set default role global variation groups. This depends on the organisation configurations for your Nintex Process Manager site.
- Go to Admin > Roles.
- Click > Edit Role.
- Click Add Default Variation.
- In the Select default variation dialog box, select a variation group and variation from the drop-down lists.
- Click .
Note: For the role default variation to work:
- the variation default must be set on the role.
- the individual user must be assigned to the role.
- the role must be in use on processes bearing that default variation.
- Go to Admin > Variations.
- Select the required variation group and in the Variation Categories section, click .
- Make the required changes and click .
A variation category can only be deleted if it does not have any variations. Promasters A Nintex Promapp system administrator who administers a Nintex Promapp site and has rights to view and edit all areas of a Nintex Promapp site. can delete individual variations from variation categories at any time if they are not associated with any process groups or users and don't have any variations linked to them. You must manually unassign all process groups and users and ensure all variations are unlinked or deleted to delete the variation category.
- Go to Admin > Variations.
- Under Variation Categories, click .
- To delete a variation, clickand then click .
- In the Confirm delete dialog box, click Yes.
