Tables permissions and roles
You can set table permissions to determine which users can access tables and the table data.

Automation permissions: To set table permissions for Nintex Workflow users.

App permissions: To set table permissions for Nintex Apps users.

When accessing a table through an app, permissions are controlled by the app's permissions, not the table's.

Any permissions set on a table are not used when that table is accessed via an app.

For reference columns to work, we recommend to avoid setting own-row access to tables.
Table permissions determines which users can access tables and data. The available roles and their descriptions are shown below.
Note: Only users with the Table Owner or Table User roles can publish workflows. Users with other roles may be able to view the table in the workflow configuration and use the table when designing workflows, but cannot publish workflows that include the table.

Change table permissions
- Open the Table permissions panel.
- On the Tables page, to the right of the table you want, click
and select Permissions.
- Open the table you want and on the toolbar, click Permissions and select Automation permissions.
Note: Users with a license for Nintex Apps will have access to App permissions as well.

In the Add New Role section, select the the roles you want to add.

To add users to a role, click the field for the role to open the drop-down.

Select one or more groups or users from the list.
Note:-
If a group is assigned the Table Owner role and it contains users with a Participant role, that user will be able to modify the table schema in My Nintex.

Only a maximum of 20 users and groups can be added across all roles for a table.

If a user is assigned multiple roles or belongs to a group that is assigned to a role, the user inherits the permissions of the highest role.

When a group is selected, all members of that group inherit the role’s permissions. For more information about groups, see Create, edit, and manage user groups.
View the members of a group

Open the User management page: On the top navigation bar, click Settings.

On the left navigation, click User management.

In the Groups section, open the Member(s) drop-down to view group members.

(Optional) Enable the Allow authenticated user access toggle to allow all authenticated users to have read access to this table. Form users are will also be able to read and select data variables that have been configured using the table.

Click Apply.
Note:-
You must assign at least one user or group to each role to enable the Apply button to save changes.

To delete a role, click
next to the role name.

Full write access to the table, including its schema, data, and permissions. Only owners can create a Form on a table. Can also edit via the grid when there is a Form attached. Participants can be assigned as Table owners. This grants them access to Table Owner features in My Nintex. |
Table Users | Can reference and use the table in workflows and forms. Table Users also have read access to the table. | |
