Before you start

Follow these steps before you start upgrading your workflows from Nintex Workflow for SharePoint On-Premises to Nintex Workflow.

1. Review your workflow inventory

The first to step to start upgrading your workflows to Nintex Workflow is to identify the workflows you want to upgrade from Nintex Workflow for SharePoint. Sign into Nintex Insights to review your inventory of workflows. These reports provide information such as Workflow Name, Workflow ID, action counts, etc. so that you can review your inventory and start to plan what workflows need to be migrated to Nintex Workflow. For a deeper dive into finding your workflow inventory, please refer to Using Nintex Insights/KYFW to find your workflows.

2. Prioritize your workflows for migration

There are several ways to determine your workflow prioritization, and this will look different for every customer. To get started, here are some important questions to consider.

  • Which departments/sites/site collections have a higher priority when it comes to migrating?

  • How many workflows have dependencies, or call component workflows that need to be migrated together?

  • Which workflows are larger, more complex, or will take longer to migrate vs. your smaller workflows that are quick wins?

  • Clean-up: Which workflows are old, outdated, or no longer being utilized by the organization and can be removed from the scope completely?

3. Migrate your SharePoint On-Premises data to SharePoint Online

You will need to migrate all the data (like lists, list forms, and libraries) from your Nintex Workflow for SharePoint On-Premises farm to SharePoint Online before you upgrade your workflows to Nintex Workflow.

4. Set up your Nintex Workflow tenant and enable the Upgrade Center

Set up the Nintex Workflow tenant you will be upgrading the workflows to. If you don't already have a Nintex Workflow tenant, you must first sign up and set up the tenant.

5. (Optional) Integrate the SharePoint Online tenant with the Nintex Workflow tenant

After creating your Nintex Workflow tenant and migrating your SharePoint On-Premises data to SharePoint Online, you can optionally set up the integration between your SharePoint Online tenant and your Nintex Workflow tenant. The integration allows you to access your Nintex Workflow tenant from SharePoint Online.

This integration can be done through the SharePoint Integration feature available under Settings in Nintex Workflow. You can integrate an entire SharePoint Online tenant or specific sites and site collections.

After the integration, when you open a Nintex Workflow from the integrated SharePoint Online tenant, site, or site collection, you are directed to the Nintex Workflow tenant.

For information on how to create an integration, see the SharePoint integration help topic and the Create a SharePoint Online integration with Nintex Workflow article in Nintex Community.

6. Create required connections in Nintex Workflow

Before upgrading workflows with connector actions, you must create the required connections in Nintex Workflow. This includes creating a SharePoint Online connection if you have any SharePoint Online connection actions in your workflows. For information about creating connections, see Manage connections.
