Office 365 send document to repository

Nintex external platform is required for this feature. For details, see Enable Nintex external platform features.

Sends a document from a SharePoint Online site to a repository (same site).

Note: The Content Organizer site feature must be activated on the SharePoint site for this action to be available. For instructions, see Activate the Content Organizer site feature.

Action settings

Following are the fields and options visible in the configuration settings dialog box for this action.

Section Field Description

 Destination site URL

Specify the URL of the destination site.

 

 List name

Specify the name of the document library containing the documents to be sent.

 

 Items to send to repository

Specify a query to identify which items are to be sent to repository, specify whether or not to include subfolders, and add filters to the query.

Select one of the following items for the query.

  • Query builder: Build a query to filter for items to be sent to repository. View the CAML at any time by switching to the CAML Editor mode.
  • CAML editor: Create a more advanced query using XML encoding.

Select or clear the following check box.

  • Include subfolders: When selected, sends items within subfolders to repository.

Select one of the following for Filters.

  • Send all documents to repository: Send all documents in the document library to the repository.
  • Send documents to repository only when the following is true: Send the document to repository based on the values set in the column.

    • Send the documents to repository when column / When column: Specify a column, select an operator, and specify a value.

    • Add filter rule: Add a filter.
    • Delete (): Delete a filter. Displayed for second and subsequent filters.
    • And / Or: Specify how to group sequential filters.

 

 Action

Select the desired option.

  • Copy: Create a copy of the document and then send this copy to the destination repository. Retain the original document in its source location.
  • Move: Create a copy of the document, send this copy to the destination repository, and then delete the original document from its source location. Users will no longer be able to access the document from its original location.

Credentials

SharePoint Online URL

Specify the SharePoint Online website domain URL. Example: http://targetdomain.sharepoint.com.

 

 Username

A username with permissions to send the document in the destination site.

 

 Password

The password for the above username.

Output

Store output for this action using the following selections.

  • All matched items sent to repository: Specify a Yes/No variable to store whether or not all matched items were sent to repository. Returns "Yes" if all matched items were successfully sent to repository.
  • New document URL: Specify a collection variable to store the new URL of the documents that were sent to repository.

Depending on action requirements, you may be able to add and remove output variables.

To add an output variable

  1. Select an option from the Select more drop-down list.
  2. Click Add to display a drop-down list for the selected option.
  3. Select a previously defined workflow variable from the drop-down list.

To remove an output variable

  • Click Delete ().

    Note: Some output variables cannot be deleted. For example, the output variable URL for the action Bing news search cannot be deleted.
