Respond to assigned tasks and task reminders
You can use one of the following methods to respond to assigned tasks and task reminders.
Respond by email
Reply to the email notification with only a valid phrase in the first line.
Typical valid phrases are "Approved" and "Rejected"; If the Include footer checkbox is selected when configuring the action, the footer of the email message displays the task outcomes that can be used in the email reply.
Note: Ensure that the original identification code appears in the subject line.
You can add comments to a LazyApproval task response:
- Type a comma after the task response and any following text is stored as a comment. The task outcome and comments must be on the same line. See the format below:
[Task response], [This is the comment]
Example:
Reject, Tax invoices required before expenses can be approved.
Respond using a task form
- In the email notification for the task assignment, click the link for the task.
- Click Edit Item.

Click the status that you want to apply to the item and then click OK.
Note: A task form is available only if a task form is created during workflow design. For more information, see Design Workflow Forms.
Respond through SharePoint

Access the task in SharePoint using one of the following options:
- Click on the link to the task that is included in the email notification of the task assignment. The task is opened in SharePoint.
- If an actionable message is received with the email notification, click View in SharePoint to open the task in SharePoint. To learn more about Actionable messages, see Actionable Messages.

In the View ribbon, click Edit Item.

Click the status that you want to apply to the item.
