Manage users

You can manage users of Nintex Workflow for Office 365 by assigning users to admin roles and selecting workflow publishers.

Administrator management

Register as a Nintex administrator, view a list of administrators in the tenant, and add other users as administrators.

Register as a Nintex administrator

You can register as a Nintex administrator on the Administrator management page for the current tenant if you have a Global administrator role.

  1. Open the Workflow Gallery via the Site Contents or a site list or library page.
    • On a SharePoint Site Contents page, click the Nintex Workflow for Office 365 app. The Workflow Gallery is displayed with the site workflows created for the site.
    • On a SharePoint List or Document Library page, click Nintex Workflow on the top ribbon. The Workflow Gallery is displayed with the list workflows created for the current list or document library.

  2. Select Settings on the left navigation pane.
  1. Click Administrator management.
  2. Click Register as a Nintex administrator.

Add a user as an administrator

Nintex administrators can register other users as administrators for the tenant.

  1. Open the Workflow Gallery via the Site Contents or a site list or library page.
    • On a SharePoint Site Contents page, click the Nintex Workflow for Office 365 app. The Workflow Gallery is displayed with the site workflows created for the site.
    • On a SharePoint List or Document Library page, click Nintex Workflow on the top ribbon. The Workflow Gallery is displayed with the list workflows created for the current list or document library.

  2. Select Settings on the left navigation pane.
  1. Click Add administrator.
  2. Type a name or email address in the search field and a select user.

  3. Click Add.

Select users as workflow publishers

Nintex administrators can define which users can publish Workflows in the current tenant and also view a list of users that are Workflow publishers. By default, all users with design permissions can publish Workflows and Nintex publishers may restrict publishing if required. Users without publishing permission can still save Workflows.

Restrict workflow publishing to selected users

  1. Open the Workflow Gallery via the Site Contents or a site list or library page.
    • On a SharePoint Site Contents page, click the Nintex Workflow for Office 365 app. The Workflow Gallery is displayed with the site workflows created for the site.
    • On a SharePoint List or Document Library page, click Nintex Workflow on the top ribbon. The Workflow Gallery is displayed with the list workflows created for the current list or document library.

  2. Select Settings on the left navigation pane.
  1. Select Restrict workflow publishing. The Restrict workflow publishing dialog box is displayed.
  2. In the dialog box, click OK to continue. Workflow publishers section appears on the same page.
    • Select the Allow designers to view users with workflow publish permission check box. When this is selected, users without Nintex administrator permissions will be able to access Workflow publishers page and view users with workflow publishing permissions.

  3. Click Add user.
  4. Type a name or email address in the search field to select users and click Add.
