Starting the workflow

In this task, the sample list workflow is configured to start for the current item in the sample list. The task sets the workflow status to "Started", and then sets the value of several workflow variables used for DocuSign authentication, sending a document with DocuSign, and tracking the state of the DocuSign envelope for the sent document.

To configure the workflow to start

  1. Create the following text workflow variables:

  2. Add a new Set Workflow Status workflow action to the design canvas, and configure it so that the value of Status is set to "Started".

    Note: A new workflow status column, with a name that matches the name of the sample list workflow, is added to the sample list to store the workflow status information for each item.

  3. Add a new Set Workflow Variable workflow action to the design canvas, and configure it so that it sets the value of the AuthorizingUser workflow variable to the email address of an appropriate authorizing user in DocuSign.

    Note: Whenever a workflow action attempts to interact with DocuSign, the authorizing user receives an email from NintexLive to either proceed with or deny authorization to access their DocuSign account. If authorization is allowed, the workflow action proceeds with the interaction, using the authorizing user's credentials. If authorization is denied, the workflow action cannot proceed and an error occurs, suspending the workflow.

  4. Add a new Set Workflow Variable workflow action to the design canvas, and configure it so that it sets the value of the Password workflow variable to the password of the DocuSign account to be used by the workflow.

  5. Add a new Set Workflow Variable workflow action to the design canvas, and configure it so that it sets the value of the DocumentToSendURL workflow variable to the relative URL of the sample document to be sent by the workflow.

    For example, if you uploaded the sample document to the Documents section of your team site, the relative URL should resemble the following example:

    /Shared%20Documents/SampleNDA.docx

  6. Add a new Set Workflow Variable workflow action to the design canvas, and configure it so that it sets the value of the FileName workflow variable to NDA.docx.

    The DocuSign send document workflow action can rename the document to be sent, as needed for your business requirements. For the purposes of the sample list workflow, the SampleNDA.docx file is renamed to NDA.docx when the document is sent to the attendee.
