Search

Important: This feature is currently in open beta. For more information, see the Nintex Beta terms document. If something is not functioning correctly, please raise this with support@nintex.com

Use the Search bar to find your folders, processes, or systems. Lists show only items that you have Permissions to see.

Specify the search terms in the search text box. The search happens while you're typing, so results are automatically returned.

Search terms

Nintex Processes searches for all the terms entered as distinct entries linked by ‘and’ statements. The search accepts AND as an operator, and * and % as wildcard terms.

For example, searching for

  • ‘new product’ will return any processes, groups or documents with ‘new’ and ‘product’ in the content. Searching ‘new AND product’ will return the same results.
  • ‘new product*’ will return any process, group, or document containing ‘new’ and any extensions of ‘product’ such as products or production.

When you change the search text, the list returns to the first page of results. In a folder, the search covers only the folders and processes in the folder you are viewing. It does not search inside the folders it contains.

Filter

  1. On the Folders list, select All items, Folders only, or Processes only.

  2. On the Drafts list, select All drafts, Drafts not in folder, or Drafts in folder.

  3. On the Archive list, select Archived by anyone, or select the name of a person to see only the processes that they archived. The drop-down list contains the people who have archived at least one process.

  4. To remove a filter, select the first option in the drop-down list again.

Note: On the folders list, the search box and the type filter reset when you open a different folder or move back to a parent folder. This prevents a previously applied filter from hiding items in the next folder.

Sort

  1. Select a column heading to sort the list by that column. Select it again to reverse the order.

  2. You can sort the Folders and Drafts lists by Name or Last Updated, and the Archive list by Name or Archived date. The other columns do not sort.

Lists open sorted by the most recent date first. Sorting applies to all of your items, not only the current page, and the list returns to the first page when you change the sort.

Move between pages

  1. Use the page numbers at the bottom of the list to go to another page.

  2. To change how many rows each page shows, select a value in the page-size list. The folders and drafts lists offer 5, 10, 20, or 50 rows. The archive list offers 5, 10, or 20 rows. The default is 10.

  3. Your search, filter, and sort stay in place when you change pages.

Note: Changing the page size returns you to the first page. If items are removed while you browse and your current page no longer exists, the list moves you to the last page that has results. Screen readers announce the visible range, for example "Showing 1 to 10 of 27 drafts".

User names in the Drafts list

The Process owner column shows the owner's avatar. Hover over it to see the owner's name. The Last Updated column shows the date and the name of the person who last saved the draft, in the form "[date] by [name]". If the person's account has been deleted or deactivated, Deleted/Deactivated User appears instead of a name.

Considerations

  • Page-by-page loading, server-side searching, and sorting depend on settings that your Nintex administrator enables for your workspace. If a list does not respond as described here, ask your administrator whether they are enabled.

  • If you see no results a search or filter may still be active. The search box and the drop-down filter work together, so an item must match both to appear. Clear the search box and set the drop-down filter back to its first option (All items, All drafts, or Archived by anyone). Confirm that your items appear again.

  • If a search finds nothing, check the spelling and try a shorter part of the name. Partial words and any combination of upper and lower case work.

  • If you cannot find an item on the Folders list, open the folder that contains it. Folder searches do not look inside other folders.
