Folder change history

Important: This feature is currently in open beta. For more information, see the Nintex Beta terms document. If something is not functioning correctly, please raise this with support@nintex.com

Folder change history is a read-only record of the changes made to a folder, showing what changed, who changed it, and when.

Use it to answer questions such as "Who renamed this folder?", "What was this folder called before?", or "When did this person get access?" Nintex Processes records each change automatically when it is made, so you do not need to turn anything on for an individual folder. The record cannot be edited or deleted from the product.

What is recorded

The change history lists these changes to a folder:

  • A folder is created.

  • A folder is renamed.

  • A folder is moved to another folder or to the top level.

  • A folder is deleted.

  • The folder's objective or background text changes.

  • Access to the folder changes. This includes adding participants, removing participants, changing a participant's permission level, and replacing the folder's inherited permissions with its own permissions.

Each entry shows the type of change, the person who made it, and the date and time in your own time zone. Entries that include a before and after value also show them as From and To.

Note: Changes to the processes inside a folder are not part of a folder's change history.

Before you start

  • You need at least view access to the folder to see its change history. A global administrator can see the change history of any folder. If you do not have access to a folder, you cannot open its change history. See Permissions for more information.

  • The View change history option appears only when the feature is enabled for your workspace. If you do not see it, ask your Nintex administrator whether the feature is enabled.

View the change history of a folder

  1. In Folders, find the folder you want to review.

  2. On the folder row, click Folder actions, and then select View change history.

  3. In the Change history panel, review the entries. The newest changes appear first, grouped under a heading for each month.

  4. If the folder has more entries than are shown, click Load more to show the next 10 entries. When every entry is shown, the message All records loaded replaces the button.

  5. To close the panel, click its close button.

If the panel shows Failed to load change history, click Retry. If the failure appears after you click Load more, click Retry to try again. If it continues to fail, close the panel, refresh the page, and open the history again.

Note: The panel first shows the 10 most recent entries. If the folder has no recorded changes, the panel shows No change history.

Read an entry

Each entry starts with the type of change and the name of the person who made it, followed by the details of the change.

  • For a rename, From shows the previous name and To shows the new name.

  • For a move, From and To show the previous and new parent folder. If the folder was at the top level, the value is Top level.

  • For an objective or background update, From and To show the previous and new text.

  • When one person is added to or removed from the folder, Description shows the person or group and their permission level. When a person's permission level changes, From and To show the previous and new level.

  • If the entry includes a folder path, Path shows the folders that contained it when the change happened, for example Finance > Invoices. The path is a snapshot, so it does not change if the folder is moved later.

Note: If a change was made by an automated action rather than a person, the entry shows System as the person who made it. If Nintex Processes cannot find a person's name, the entry shows their identifier instead.
