Delegating approval tasks

This topic describes how to delegate tasks immediately and how to define, edit, and delete long-term delegations.

Immediate delegate of tasks is processed from the Approve Reject page for the selected task when the user interaction task is configured to allow delegation. Long-term delegations allow users to delegate all tasks to others for a specified duration, such as during an absence.

Note: Long-term delegations are applied only when a task is initially assigned to a user. If a task is reassigned manually or through workflows using the action Delegate Workflow Task, then the task is assigned to the specified user, regardless of any defined long-term delegations.

To delegate a task immediately

  1. On the Approve Reject page for the task, in the Status section, click delegate to display the Delegate Task page.
  2. Under Delegate, click (Browse) to select a user for reassignment of the task.

  3. (Optional.) Under Comments, provide instructions or additional information about the delegated task. The comments text is appended to the "Approval Required" notification sent to the selected user.
  4. Click OK to save changes.

    The task is now reassigned to the selected user.

To access the Nintex task delegation page (view long-term delegations)

  • On the SharePoint site, click the logged-in user name link and then select Nintex task delegation.

    The logged-in user name link is typically located on the upper right.

    The Nintex task delegation page appears.

To define a long-term delegation

  1. On the Nintex task delegation page, click Delegate tasks to a user between specific dates to display the Add Delegation page.

  2. Fill in the fields and then click OK to save changes and redisplay the Nintex task delegation page.

To edit a long-term delegation

  1. On the Nintex task delegation page, under Tasks delegated to, click the delegated user name to display the Edit Delegation page.

  2. Update fields as needed and then click OK to save changes and redisplay the Nintex task delegation page.

To delete a long-term delegation

  1. On the Nintex task delegation page, under Tasks delegated to, click the delegated user name to display the Edit Delegation page.

    For instructions on accessing the Nintex task delegation page, see the procedure above.

  2. Click Delete.

    The Nintex task delegation page is displayed and the deleted delegation is removed.
