Managing LazyApproval settings (farm level)

This topic describes how to enable LazyApproval, manage recognized and ignored phrases, and edit footers for email messages.

As administrator, you can enable and disable LazyApproval on the SharePoint farm. When enabled, you can configure recognized and ignored phrases as well as the text explaining LazyApproval in email footers. 

With LazyApproval, workflow task actions can be configured to accept responses via reply using the selected transmission methods: email and OCS/Lync conversations (the latter requires Enterprise Edition). The default set of recognized phrases includes approve, approved, decline, declined, no, ok, reject, rejected, and yes. For email, additional text is added to the standard email template footer to explain how to use LazyApproval.

Specify ignored phrases to automatically discard automated replies, such as out-of-office messages. When an ignored phrase is present in the email subject line, the system discards the email message. If automated messages do not contain ignored phrases, then LazyApproval sends a response to the reviewer each time, which can cause a loop when the reviewer's email client continues to send automated messages.

To access the LazyApproval Settings page

  • On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.

To enable LazyApproval for the farm

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, click Enable/Disable LazyApproval to display the transmission method options.

  3. Enable LazyApproval for desired transmission methods.
    • For email messages, click Yes for Enable or disable LazyApproval via email.

      The Email alias field indicates the sender name used for notification email messages, which also accepts the LazyApproval replies.

      Note: If this page displays the link Configure server incoming mail settings, then incoming mail settings are not yet configured. Configure these settings according to your SharePoint configuration documentation and then come back to this page.

    • For instant messages (OCS/Lync), click Yes for Enable LazyApproval via instant message.

      Note: If this option is not available, then the instant messaging settings may not be configured. See Set up messaging and notifications.

  4. Click OK.

To create a recognized phrase

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, click Create a new LazyApproval phrase for the current server farm.

    The Add LazyApproval Phrase page appears. For reference, see Add LazyApproval Phrase page.

  3. On the Add LazyApproval Phrase page, enter the new phrase, select the outcome (Approve or Deny), and then click OK.

    Note: Recognized phrases are not case-sensitive. The maximum string length is 255 characters.

    The LazyApproval Settings page is redisplayed with the new phrase added to the list of recognized phrases.

To edit or delete a recognized phrase

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, click the link for the phrase that you want to edit or delete.

    The Edit LazyApproval Phrase page appears. For reference, see Edit LazyApproval Phrase page

  3. To edit the phrase, update settings and then click OK.

    Note: Recognized phrases are not case-sensitive. The maximum string length is 255 characters.

    The LazyApproval Settings page is redisplayed with the edited phrase shown in the list of recognized phrases.

  4. To delete the phrase, click Delete.

    The LazyApproval Settings page is redisplayed with the deleted phrase removed from the list of recognized phrases.

To create an ignored phrase

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, click Create a phrase to ignore.

    The Add LazyApproval Ignore Phrase page appears. For reference, see Add LazyApproval Ignore Phrase page

  3. Enter the new phrase and then click OK.

    The LazyApproval Settings page is redisplayed with the new phrase added to the list of ignored phrases.

To delete an ignored phrase

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, under Phrases to ignore, click Delete () for the phrase that you want to delete.

To customize the footer text for LazyApproval notifications

  1. Access the LazyApproval Settings page: On the Central Administration Home page, click Nintex Administration and then click LazyApproval settings under Workflow environment.
  2. On the LazyApproval Settings page, click Edit the LazyApproval notification footer.

    The Manage LazyApproval Footers page appears. For reference, see Manage LazyApproval Footers page.

  3. Update text for each desired footer (specific to workflow action) and then click OK.
