Update Group Event

This wizard is found on the SharePoint 2013 - Group Events node.

What does this do?

The Update Group event allows you to update a group in SharePoint.

How is it used?

A workflow step can modify properties of a user group in SharePoint. For example, when the group title, description or permissions need to change, the Update Group wizard can be used to complete the changes.

In the following images, click a field or control to get more information, such as what the field or control is used for and how to configure the field and use the control .

Select the group reference or browse to a group.

Use this option if a reference was created earlier in this workflow.

Select the reference from the drop down list.
Browse to a group

If the group does not have a reference, the group can be browsed to using a SharePoint Site Collection. The Site Collection field is populated with the default site collection. Note that when using this option, filters are required to determine the correct group to use. See information on the next step.

Choose a site collection from the available site collections that have the K2 for SharePoint app registered. If there is only one it is auto-selected.

If Browse to group was selected on the Specify Group page of the wizard, set the filters to determine which user group should be updated.

Filter Fields Apply a filter by specifying values in one or more fields to identify the required item. Select the check box in front of the field to enable the filter. Type the value of the field, or drag a value from the Context Browser such as a pre-configured Data Field, Item Reference or a SmartObject Load method. Note that when a SmartObject Load method is used, an input property is required for the correct data to load.

On the Specify Values page of the event, specify the properties of the group that must be updated.

Name Enter a new name for the SharePoint Group if the name of the group needs to be updated. Leave this property empty if the name should not be updated.

Type the value of the field, or drag a value from the Context Browser such as a pre-configured Data Field, Item Reference or a SmartObject Load method. Note that when a SmartObject Load method is used, an input property is required for the correct data to load.
Description Enter a new value for the SharePoint Group description to update the description for this group. Leave this property empty if the description should not be updated.

Type the value of the field, or drag a value from the Context Browser such as a pre-configured Data Field, Item Reference or a SmartObject Load method. Note that when a SmartObject Load method is used, an input property is required for the correct data to load.
Permissions

Select the required permission level.

  • Full Control: Users have full control of the SharePoint instance.
  • Design: Users can design new SharePoint elements.
  • Edit: Users can edit existing SharePoint elements.
  • Contribute: Users can provide new content within SharePoint elements.
  • Read: Users can read content within SharePoint elements.
  • View Only: Users can only view content within SharePoint elements. New content is not marked as read by users with this permission.
 Select the required checkbox.

When the toggle button is used to specify permissions manually use a semi-colon to specify multiple permissions. Data fields can also be used to dynamically specify permissions and custom permission levels are supported and should be specified as Perm1;Perm2. The example below shows a combination of a manual, data field and custom permissions.
