Filter forms and workflow tasks

This topic describes which connection types are compatible with forms and tasks and provides instructions for filtering them in apps.

Focus your app to a department, process, role, or function by filtering forms or tasks. Consider the following examples.

  • HR versus General: To isolate HR forms within an HR app and provide all other forms in another organizational app, create an app "Crestan HR" that shows only HR-specific forms and create another app "Crestan" that hides HR-specific forms. Distribute the "Crestan HR" app to the HR staff only; distribute the general "Crestan" app to all staff.

  • Inspections only: To remove distractions of other corporate processes and help streamline inspection tasks for field staff, create an app "Crestan Inspections" that shows only forms and workflow tasks specific to the inspection process. Distribute this app to field staff.

Forms are identified at runtime by Nintex form ID (unique form identifier on the server). Tasks are identified at runtime by workflow name.

If forms and workflow tasks are not filtered, then all forms and workflow tasks on the site are accessible via the app according to the user's permissions.

To filter forms

  1. On the app page, click Content.

    For instructions on accessing the app page, see Access the app page.

  2. On the Form menu item, click Add filter.

  3. Click the Filter configuration option you want.

    • Show all forms: No filter is applied. All forms are visible in the app.

    • Show only listed forms: Selected forms are shown in the app.

    • Hide listed forms: Selected forms are hidden in the app.

  4. Click to select forms (available for the Show only listed and Hide listed forms options).
  5. Click Nintex Automation Cloud or SharePoint.

    For Nintex Automation Cloud:

    1. Type the Form name.
    2. Paste the URL for a Nintex Automation Cloud public web form link into the Add form link field.
    3. Click Add.

    For SharePoint, drag and drop or click Upload to add the .xml and .nfp files to filter.

  6. To edit the Form Icon, Name, Category and Description:
    1. Click .
    2. Click to toggle Override on.
    3. Select an Icon.
    4. Type a form Name.
    5. Type a form Category.
    6. Type a form Description.
    7. Click OK.
  7. Click OK.
  8. At the top of the page, click Save Draft to save changes.

To filter workflow tasks

  1. On the app page, click Content.

  2. On the Task menu item, click Add filter.

  3. Click the Filter configuration option you want.

    • Show all tasks: No filter is applied. All task are visible in the app.

    • Show only task from listed workflows: Selected workflow tasks are shown.

    • Hide tasks from listed workflows: Selected workflow tasks are hidden.

  4. Drag and drop or click Upload to add the .nwf and .nwp files to filter.

  5. At the top of the page, click Save Draft to save changes.
